The Office Assistant supports the Centre Management function by ensuring that all administrative processes, communications, and records are managed accurately and professionally. Key Responsibilities

Front-Line Communication and Enquiries

The Office Assistant is responsible for handling incoming calls and enquiries in a professional and courteous manner. Acting as the first point of contact, the role requires clear communication, effective call routing, and prompt response to enquiries.

The Office Assistant liaises with clients, tenants, and management, ensuring that communication is accurate, timely, and aligned with centre standards.

Administrative and Operational Support

The role includes assisting with general administrative duties across the centre management office. This includes supporting the operations department with administrative tasks, invoicing assistance, and general office coordination.

The Office Assistant contributes to the smooth functioning of daily centre operations by ensuring that administrative processes are followed and documentation is maintained correctly.

Records, Reports, and Filing Management

Preparing, maintaining, and updating assigned records and reports accurately is a key responsibility. The Office Assistant ensures that information is captured correctly, records are kept current, and reports are prepared according to required standards.

Qualifications and Experience

Matric certificate
Knowledge of office management systems and procedures
Proficiency in Microsoft Excel, Word, and PowerPoint
Working knowledge of office equipment such as printers
Administrative experience within Centre or Retail Management is advantageous
Good typing skills
Strong written and verbal communication skills in English and Afrikaans
Excellent interpersonal and public relations skills

Excellent time management and ability to prioritise tasks
Willingness to work weekends and after hours when required
Valid Code 8 driver’s licence and own transport
