Purpose of the Role
The Legal Administrator provides comprehensive administrative support and co-ordination to the Group Legal Department — including legal and management reporting, claims progress tracking, correspondence co-ordination, data validation, file preparation, document proofing, special project support, and general executive-level office administration — ensuring the smooth, efficient, and accurate daily functioning of the Head of Group Legal Counsel’s office.
Key Responsibilities – Legal Administrator
Legal Department Administration & Co-ordination
- Ensure the smooth running of all administrative functions of the Legal Department — co-ordinating tasks accurately and timeously across the department’s full operational scope.
- Co-ordinate and delegate routine and out-of-routine administration across the Legal Department — managing workflow, tracking progress, and ensuring all tasks are completed within required timeframes.
- Obtain relevant information from across the Fidelity organisation as required by the Head of Group Legal Counsel and the wider legal team.
- Respond to case-related queries within defined limits of authority — providing timely, accurate, and professional responses to internal and external stakeholders.
Legal & Management Reporting
- Compile and report on legal and management reports on a daily, weekly, and monthly basis as required — delivering accurate, high-quality reporting on claims progress, case status, and legal department activities.
- Prepare special project reports and executive-level documentation — producing high-quality, accurate, and professionally presented outputs for the Head of Group Legal Counsel.
- Approve and validate documents, reports, and presentations before circulation to the Head of Group Legal — ensuring quality, accuracy, and completeness at every step.
Claims Department Support
- Provide purposeful administrative support to the complete Legal Department — including the Claims Department — maintaining claims tracking systems, updating filing databases, and co-ordinating claims correspondence.
- Report on claims progress as required — maintaining up-to-date records that enable the legal team to manage active claims efficiently.
Document Management & Data Integrity
- Maintain and update filing systems, databases, and tracking systems — ensuring data integrity, accessibility, and accuracy across all legal department records.
- Validate, proof-read, and revise drafts of office staff correspondence — checking for accuracy, consistency, and professional presentation before documents are circulated.
- Create and organise information and generate reference tools for easy use by the Legal Department office.
Implementing Head of Group Legal Instructions
- Implement and execute instructions and administrative requirements from the Head of Group Legal — responding efficiently, accurately, and proactively to all directives.
- Support executive-level stakeholder engagement — managing correspondence, meeting logistics, and communication on behalf of the Head of Group Legal as required.
General Office Administration & MS Office
