About the Help Desk Operator Role
The Help Desk Operator is the first point of contact for all facility-related calls, queries, and service requests. This role is responsible for answering incoming calls professionally, accurately logging all faults and service requests, assigning and prioritising calls, following up with service providers, and ensuring every caller receives a high standard of service.
The ideal candidate is someone who is calm under pressure, highly organised, detail-focused, and committed to delivering exceptional telephone-based customer service in a busy facilities management helpdesk environment.

Key Duties and Responsibilities
- Call Answering: Answer all incoming calls promptly, professionally, and in line with Tsebo’s service standards.
- Call Logging: Accurately log all calls, capturing caller details, fault descriptions, and location information without error.
- Categorisation & Prioritisation: Categorise, prioritise, and assign all logged calls to the appropriate service providers in line with helpdesk procedures and SLA requirements.
- Call Updates & Closure: Update call annotations with progress information and close calls accurately once resolved.
- Follow-Up: Proactively follow up on open calls with internal and external service providers to ensure timeous resolution.
- Escalation: Escalate calls approaching restore time and report instances of poor service provider performance to management.
- Difficult Callers: Handle difficult or frustrated callers with patience, professionalism, and empathy — escalating to management when necessary.
- Reporting: Generate helpdesk performance reports as requested by the Operations Manager.
- Compliance: Adhere to Tsebo’s SHEQ standards at all times, including ISO 9001, ISO 14001, and ISO 18001 requirements.
Minimum Requirements and Qualifications
- Grade 12 / Matric — non-negotiable.
- Secretarial or Telephonist Certificate / Diploma — advantageous.
- 1–2 years’ experience in a help desk, call centre, telephonist, or customer service environment.
- Computer literate — proficient in Microsoft Word, Excel, and Access.
- Excellent telephone etiquette and interpersonal skills.
- Strong communication skills — both verbal and written — with high attention to detail.
