Role Purpose

The Goods Receiving Supervisor is responsible for the gatekeeping of all inventory entering or leaving the store. You will oversee the receipt and return of stock to Suppliers and handle Inter-Branch Transfers (IBTs). This role requires a high level of system proficiency to update goods receiving vouchers, ensure accurate labeling, and manage the swift distribution of stock to the floor for merchandising. You are the final line of defense against receiving discrepancies and a key driver of store stock availability.


Key Performance Areas & Responsibilities

1. Stock Receiving & IBT Management

  • Physical Verification: Receive stock from suppliers by physically balancing goods against the Supplier’s Invoice/Delivery Note and the Cashbuild Purchase Order.

  • Dual Control: Ensure a 2nd designated Cashbuild employee is always present during the receiving or dispatching of stock to maintain integrity.

  • System Capture: Accurately capture receiving data onto the IT system within prescribed time limits to ensure real-time inventory updates.

  • Discrepancy Handling: Ensure all invoices with discrepancies are amended, endorsed, and signed by the supplier representative, including recording the truck registration number.

2. Stock Distribution & Labeling

  • Floor Clearing: Clear stock from the GRS office and ensure it is merchandised on the retail floor within the set time limits.

  • SKU Integrity: Ensure all stock without a printed SKU is labeled correctly. Rectify any errors in existing printed SKU labels.

  • Pricing Policy: Adhere strictly to the Cashbuild pricing policy and action any pending price changes immediately according to the corporate manual.

3. Supplier Claims & Security

  • Validating Claims: Manage supplier claims by ensuring pickup slips or credit notes are attached to adjustment vouchers and authorized by the Store Manager.

  • Receiving Gate Security: Never leave the receiving gate unattended while open. Ensure the receiving stamp and delivery books are locked away when not in use.

  • Crew Management: Ensure supplier truck crews remain at their vehicles and do not loiter inside the store premises.

4. Operational Standards & OHSA

  • Ready for Business: Maintain a clean and tidy GRS office and clear the receiving area of excess or damaged stock.

  • Safety Compliance: Oversee OHSA requirements within your area, ensuring the first aid box is accessed only by authorized personnel and reporting safety concerns to the Store Manager.


Minimum Requirements & Qualifications

To be considered for this internal supervisory role in Boitekong, candidates must meet the following:

  • Current Status: Must be a current employee of the group (Internal Only).

  • Education: Grade 12 (Matric) is essential.

  • Experience: * Minimum of 1 (one) year related experience with a post-matric qualification, OR

    • At least 2 (two) years of related experience within the goods receiving or warehouse environment.

  • Numerical Skills: Above-average numeric skills for complex stock balancing and reconciliations.

  • IT Literacy: Must be computer literate and proficient with the store’s inventory management systems.

  • Availability: Must be willing to work retail shifts and weekends.
