Purpose of the Role

The Executive Secretary provides a wide range of administrative and general support duties of a responsible, confidential, and complex nature to the business unit’s Executive Office. The role ensures the seamless implementation and consistent delivery of services to all clients and stakeholders, and carries lead administrative responsibility — including the delegation and reassignment of work to other support staff within the business unit where required.

Key Responsibilities – Executive Secretary

Office Administrative Support

  • Provide comprehensive administrative support to the Executive Office, managing all incoming and outgoing emails, mail, and telephone communications professionally and efficiently.
  • Allocate and reconcile supplier invoices correctly and resolve all invoice-related queries timeously.
  • Submit expense claims to the Finance department in full compliance with company policy and procedures.
  • Order stationery, paper, and consumables as per company procurement procedures, ensuring availability on demand at all times.
  • Develop and maintain a structured filing system — for both physical records and electronic documents — that enables all business unit team members to access required documents quickly and easily.
  • Store all confidential documents securely and ensure sensitive information is protected at all times.
  • Co-ordinate the flow of paper and electronic documents to the appropriate parties across the business unit.
  • Follow through on all outstanding issues and action items from meeting minutes, liaising with relevant Heads of Department to ensure timely resolution.
  • Liaise with travel service providers to co-ordinate all travel, car hire, and accommodation arrangements for the General Manager and executive team.

Executive Support to the General Manager

  • Manage the General Manager’s diary comprehensively, including scheduling meetings, planning follow-up time, and allocating action steps from key engagements.
  • Prepare all internal and external communication documents on behalf of the General Manager to the highest standard of professionalism.
  • Type all correspondence proficiently and accurately, including letters, faxes, reports, and formal communications.
  • Manage all calls, queries, and requests received by the GM’s office daily, ensuring each is resolved, redirected, or reassigned to the relevant manager promptly.
  • Troubleshoot and resolve issues raised by assigned clients and stakeholders, escalating where necessary.
  • Complete and distribute reports, meeting minutes, presentations, and departmental documents accurately and on time.
  • Consolidate budget information, record and monitor monthly expenses, and escalate any variations from budget to the General Manager with supporting documentation.

Meeting Co-ordination

  • Send out meeting invitations within reasonable timelines to accommodate all delegates’ schedules.
  • Compile and distribute meeting agendas and minutes timeously before and after each meeting.
  • Book appropriate meeting venues based on specific requirements — including number of attendees, equipment needs, timing, floor access, accessibility, refreshments, and time frames.
  • Co-ordinate and test all required meeting equipment in advance, ensuring full functionality of air conditioning, laptops, projectors, and all audio-visual resources.
  • Arrange catering in line with confirmed RSVPs and the dietary requirements of all attendees.

Project Co-ordination

  • Co-ordinate special projects as allocated by the General Manager, managing timelines, deliverables, and stakeholder communication throughout.
  • Conduct research and analysis required for projects or executive presentations, compiling findings into clear, professional documents.
  • Communicate with stakeholders, clients, and visitors to advance the aims of assigned projects.
  • Monitor the progress of projects allocated to staff by the General Manager and compile regular status reports covering progress, implemented actions, and challenges encountered.
  • Consolidate information from across the business unit and present structured reports to the General Manager.

Minimum Requirements – Executive Secretary

Educational Qualifications

  • Secretarial Diploma — required
  • Additional qualifications in office administration, business management, or hospitality are advantageous

Work Experience

  • Minimum of 5 years of administration or secretarial experience — essential
  • Experience supporting a senior executive or General Manager in a corporate, hotel, or large hospitality environment is strongly preferred

Technical Systems Knowledge
