Fidelity Services Group is recruiting a highly experienced and professionally mature Executive Administrator to support its Management Office based in Roodepoort, Gauteng, on a permanent basis. This mid-to-senior level opportunity is designed for a seasoned executive support professional with extensive experience operating at ExCo and C-suite level within a large corporate environment.

The role plays a critical part in ensuring the seamless functioning of the executive office through high-calibre operational, governance, and administrative support. It requires exceptional organisational ability, sound judgement, discretion, and the capacity to perform consistently in a high-pressure, fast-paced corporate setting.

This position is ideally suited to an individual who demonstrates professional maturity, resilience, and a strong bias toward action, while maintaining absolute confidentiality and precision in all aspects of executive support.

About the Role

The Executive Administrator is responsible for supporting complex executive workflows while maintaining robust governance structures and executive office rhythms. The role demands the ability to anticipate executive needs, manage competing priorities, and ensure that senior leadership is supported through accurate coordination, documentation, and follow-through.

Operating at a senior level, the Executive Administrator acts as a trusted partner to executive leadership, ensuring that meetings, communications, governance cycles, and logistics are handled with efficiency, professionalism, and confidentiality. The role requires independence, strong decision-making capability, and the ability to remain composed under pressure.

The incumbent will work closely with senior executives, internal stakeholders, and external partners, ensuring that executive operations run smoothly and without disruption.

Key Responsibilities

Executive Administration and Office Coordination

The Executive Administrator is responsible for managing complex executive calendars, including briefings, appointments, travel schedules, and logistical arrangements. This includes coordinating multiple stakeholders, resolving scheduling conflicts, and ensuring that executives are fully prepared for all engagements.

End-to-end meeting support is a core function of the role. This includes preparing agendas, compiling pre-reads, coordinating briefings, recording action logs, and ensuring follow-up tracking on decisions and deliverables. Accuracy, version control, and confidentiality are essential in all documentation.

The role also includes comprehensive travel and logistics management, both locally and internationally. This involves coordinating flights, accommodation, visas, security requirements, and contingency planning to ensure seamless executive travel.

Governance and Compliance Support

The Executive Administrator plays a key role in maintaining governance cycles and statutory diaries within the executive office. This includes awareness and coordination of executive forums, joint ExCo sessions, monthly business reviews, and key client engagements.

Accurate and action-oriented minute taking is a critical responsibility. The role requires tracking resolutions, decisions, and actions, ensuring accountability and timely closure across executive committees.

The Executive Administrator ensures that governance documentation is accurate, controlled, and aligned with organisational standards, supporting transparency and compliance.

Communication and Stakeholder Engagement

Professional engagement with C-suite and senior executives is central to the role. The Executive Administrator must demonstrate strong interpersonal skills, emotional intelligence, and the ability to communicate clearly and confidently at senior levels.

High-quality business writing is essential, with a professional and concise executive tone applied to correspondence, reports, and internal communications. The role requires proven discretion and integrity when handling sensitive and confidential information.

The Executive Administrator also provides internal customer support, ensuring that executive office interactions reflect professionalism, responsiveness, and trust.

Technical Proficiency and Digital Administration

The role requires advanced capability across Microsoft Outlook, Teams, and OneDrive, including document permissions, access control, and version management. Strong proficiency in PowerPoint, Word, Excel, and the broader MS Office suite is essential for producing executive-level documentation and presentations.

Advanced Excel skills support reporting, tracking, and operational oversight, while PowerPoint expertise ensures the delivery of high-quality executive presentations.

Operational Resilience and Crisis Support

The Executive Administrator must demonstrate strong operational resilience, with the ability to convene rapid executive meetings during crisis situations and support executive responsiveness when required.

The role requires strong security awareness, priority management, and the ability to coordinate office operations, facilities requests, asset management, and business approvals efficiently.

Working extended hours and meeting strict deadlines is an inherent requirement of the position, particularly during peak operational or crisis periods.

Qualifications and Experience

Candidates applying for this role must meet the following requirements:

Grade 12 / Matric
Minimum 5–8+ years’ administrative experience within a large corporate environment
Demonstrated experience supporting ExCo or senior executive leadership
Advanced proficiency in Excel, MS Word, and PowerPoint
Above-average verbal and written communication skills
Ability to resolve conflict effectively and professionally
Proven ability to handle work-related stress and operate under pressure
Strong ability to work independently and meet strict deadlines
High levels of motivation, professionalism, and enthusiasm
Valid driver’s license with own reliable transport
Willingness and ability to travel when required

Experience within the security industry will be advantageous.
