Purpose of the Role
The Despatch Clerk is the heartbeat of our morning distribution cycle. You will be responsible for the timeous despatch of delivery vehicles, meticulous stock reconciliation, and ensuring that all data captured within our Syspro system is flawless. Reporting to the Depot Controller, you will play a key role in maintaining audit compliance and ensuring that our customers in the KZN region receive their products accurately and on time.
Key Job Responsibilities
1. Fleet & Personnel Coordination

Morning Despatch: Ensure all delivery trucks are despatched timeously every morning to meet delivery windows.

Staffing: Manage the despatch team by arranging replacements for staff where necessary and ensuring all personnel adhere to uniform and safety standards.

Labor Allocation: Coordinate internal distribution labor as needed to ensure smooth operational flow.
2. Reconciliation & Data Integrity

Daily Reconciliations: Complete the despatch recon document daily and oversee/reconcile the despatch foreman’s recons.

Sales Balancing: Balance daily despatch sales recons against driver van sheets for every route to ensure zero discrepancies.

Stock Verification: Verify daily production transfers and confirm all returns to the despatch area.
3. Stock Control & Returns Management

Returns Processing: Count and record all “returns to stock” for all drivers on the official return slips.

Variance Reporting: Closely monitor stock variances and provide detailed reports to management to trigger corrective actions.

Audit & Compliance: Maintain prescribed records of all goods received and despatched, ensuring 100% compliance with company policy and audit requirements.
Minimum Requirements
Qualifications & Education
-
Matric: Standard Grade 12.

Advantage: A National Diploma in Logistics, Supply Chain, or a related field will be a significant advantage.
Experience & Skills
-
Work Experience: Minimum of 2 years of experience in a similar despatch or warehouse clerical role.

Software Proficiency: Syspro and general computer literacy are essential requirements for this position.

Communication: Strong written and verbal communication skills for effective report writing and team coordination.
