Purpose of the Role
The Claims Administrator is responsible for receiving, processing, and managing liability and motor vehicle accident claims within the CSA Claims Department — ensuring contract retention, mitigating vicarious liability costs, controlling reputational risk, and protecting the general interests of the company — while contributing to the growth and profitability of Fidelity through excellent service and maintained stakeholder relationships.
Key Responsibilities – Claims Administrator
Claims Receipt & File Management
- Receive liability and motor vehicle accident claims matters and related files — ensuring every incoming claim is logged, acknowledged, and actioned for best attention from the point of receipt.
- Review file content thoroughly to establish what documentation and information is still outstanding before the claim can be processed — identifying gaps and initiating action to complete the file efficiently.
- Close files on the ICBM and GreenFleet claims management systems upon resolution — maintaining clean, accurate claims records throughout the system.
Correspondence & Document Co-ordination
- Forward correspondence to branches requesting all required documents and information — ensuring that operational branches understand their obligations in supporting claims documentation.
- Issue discovery letters to clients and claimants — formally requesting further documents and information required for claims assessment and processing.
- Forward requests to the Legal Department for contract information and/or contract copies relevant to specific claims matters.
- Forward requests to Billing / Credit Control for WTR (Withheld-to-Recover) reports and information on monies being withheld in connection with active claims.
ICBM & GreenFleet Claims System Management
- Update the ICBM claims management system accurately and timeously — ensuring all claims data is current, complete, and correctly recorded at every stage of the claims lifecycle.
- Update the GreenFleet claims management system accordingly — maintaining accurate fleet-related claims data that supports Fidelity’s vehicle claims management and recovery processes.
- Oversee the maintenance of both the ICBM and GreenFleet claims systems — contributing to data integrity and system accuracy across the Claims Department’s full claims portfolio.
General Claims & Office Administration
- Perform general ad-hoc duties as required by the Claims Department — supporting the Claims Manager and broader team with administrative tasks as the claims workload demands.
- General office duties — contributing to the efficient, professional daily functioning of the Claims Department office.
