Position Overview

RCL Foods is seeking a motivated and detail-oriented Buying Administrator to join its Grocery Division based in Randfontein, Gauteng. This role reports directly to the Senior Buyer and plays a vital part in ensuring that the company’s procurement processes run smoothly, efficiently, and in full compliance with internal policies.

The successful candidate will provide administrative support to the purchasing team, handle supplier documentation, monitor open orders, and assist with quotations, data management, and general procurement governance. This position is ideal for an individual with strong organizational skills, accuracy, and a passion for supporting effective sourcing and supply chain operations.


Key Responsibilities

1. Buying Administration – Support to Buyers

  • Create purchase orders upon receiving fully completed and approved buying requisitions, ensuring compliance with company policy and Levels of Authority.

  • Verify that all requisitions are authorized and contain complete, accurate information.

  • Ensure all purchase orders meet company requirements, including obtaining three quotations when required.

  • Resolve problem invoices by liaising between suppliers and the credit department, ensuring queries are resolved within 48 hours.

  • Support buyers with requisitions and bid documentation to facilitate competitive procurement for non-contract items.

  • Solicit written quotations and assist in compiling and tabulating bids.

2. Buying Administration – Order and Supplier Management

  • Expedite purchase orders to ensure materials are delivered on time and according to supplier promises.

  • Communicate proactively with buyers regarding any unrealistic delivery schedules.

  • Monitor open purchase orders, ensuring none exceed 90 days (excluding imports or special requirements).

  • Analyze supplier performance and delivery accuracy against contractual lead times.

  • Maintain comprehensive records of purchasing documentation, shipments, and supplier correspondence.

  • Report procurement challenges to the Senior Buyer or Procurement Manager for prompt resolution.

3. Reporting, Administration, and Data Management

  • Compile accurate and up-to-date procurement data for management reports.

  • Maintain organized files and documentation in accordance with company procedures.

  • Prepare ad hoc spreadsheets or summaries as required by the procurement department.

  • Ensure regular, accurate data capture to provide reliable procurement insights and audit-ready records.

4. Teamwork and Self-Management

  • Demonstrate ownership and accountability for assigned administrative tasks.

  • Prioritize and plan daily responsibilities effectively to maintain consistent quality and productivity.

5. Governance and Compliance

  • Maintain procedural compliance by implementing and observing all relevant controls and internal audit requirements.

  • Uphold integrity and confidentiality when handling supplier information and company data.


Minimum Requirements

  • Matric / Grade 12 qualification (essential).

  • A Diploma in Supply Chain Management, Business Administration, or Procurement (preferred).

  • Prior experience in a procurement or supply chain administration environment.

  • Proficiency in MS Office Suite (Excel, Word, Outlook).

  • Working knowledge of Syspro or similar ERP system (advantageous).

  • Strong administrative, numerical, and organizational skills.

  • Excellent communication, interpersonal, and time management abilities.
