About the Bookkeeper / Administrator Role
The Bookkeeper / Administrator will provide comprehensive financial and administrative support to the Catering Manager at the Richards Bay unit. This is a hands-on, detail-oriented role that sits at the intersection of bookkeeping, financial reporting, stock control, and operational administration.
The successful candidate will be responsible for maintaining the integrity of all financial control systems, preparing weekly and monthly financial reports, conducting cash and stock audits, and ensuring all bookkeeping returns are submitted accurately and on time.
Key Duties and Responsibilities
The Bookkeeper / Administrator will be responsible for the following:
- Assist the Catering Manager with monthly client account reconciliation and reporting.
- Comprehensive maintenance and oversight of all financial control systems.
- Monitor stock consumption reports and report fluctuations to the Catering Manager.
- Assist with surprise monthly audit stock checks.
- Liaise with Catering Managers to consolidate all meal and function costings and monitor gross profit (GP).
- Assist with full stock takes and ensure all supplier invoices are received and processed timeously.
- Compile weekly Profit and Loss summaries for the unit.
- Compile all bookkeeping returns required by the Regional Office and the unit within stipulated deadlines.
- Ensure all bookkeeping returns and trading analysis figures are balanced by Friday following each stock take.
- Conduct regular spot checks in the unit — reconciling Control Sheets vs POS system vs Cash Received.
- Conduct cash checks in the unit, balancing figures to PRS Cash on Hand.
- Administer and manage all local debtor transactions and payments.
- Maintain accurate filing of all accounting and financial records.
- Submit relevant financial documentation accurately and on time as required.
- Assist with functions and events at the unit when required.
Minimum Requirements and Qualifications
To be considered for this Bookkeeper / Administrator position in Richards Bay, candidates must meet the following requirements:
- Relevant Degree, Diploma, or Certificate in Accounting, Bookkeeping, Finance, or Business Administration.
- Food or catering industry background is essential — candidates without this will not be considered.
- Previous experience in a similar bookkeeping or financial administration role is a strong advantage.
- Computer literate — proficient in Microsoft Word and Microsoft Excel; experience with POS systems advantageous.
- Knowledge of the catering or hospitality industry is an added advantage.
