Motus Corporation is recruiting a highly organised and customer-focused Administrator: Service Advisor to join its Motus Volkswagen Welkom dealership on a permanent basis in Welkom, Free State. This role is ideal for an experienced customer service or administrative professional who thrives in a fast-paced automotive environment and is passionate about delivering an excellent customer experience.

The position plays a critical role in supporting the service department by coordinating bookings, maintaining accurate records, and acting as a key point of contact between customers and the workshop.


About the Role

The Administrator: Service Advisor is responsible for ensuring smooth day-to-day service operations by managing customer interactions, scheduling service appointments, and supporting the service team with accurate administration and communication.

This role requires strong organisational skills, attention to detail, and the ability to handle multiple tasks while maintaining a professional and customer-focused approach at all times.


Key Responsibilities

Customer Interaction and Service Bookings

The successful candidate will engage with customers in person, telephonically, and via email to schedule vehicle service appointments. This includes confirming bookings, managing queries, and ensuring customers receive clear and professional communication throughout the service process.


Service Updates and Customer Communication

The role involves providing regular status updates to customers regarding their vehicles, answering questions, and addressing concerns related to service progress in a timely and professional manner.


Administration and Record Management

Accurate record-keeping is essential. The Administrator: Service Advisor will maintain detailed records of service appointments, including customer information, vehicle details, and services rendered, ensuring data integrity at all times.


Coordination with the Service Department

The position requires close collaboration with the service and workshop teams to ensure appointments are scheduled efficiently and that services are completed within agreed timeframes.


Payments, Billing, and Queries

The role includes processing customer payments, assisting with billing enquiries, and ensuring all financial transactions related to service work are handled accurately and professionally.


Customer Complaint Resolution

The Administrator: Service Advisor will assist in resolving customer complaints or issues promptly, professionally, and in line with dealership and company standards.


Team Collaboration

Working closely with the broader service team is essential to support the overall performance and success of the service department.


Minimum Requirements

Candidates applying for this position must meet the following requirements:

  • High school diploma or equivalent

  • Minimum 2 years’ experience in a customer service or administrative role

  • Excellent communication and interpersonal skills

  • Strong organisational ability and attention to detail

  • Proficiency in Microsoft Office and general computer systems

  • Ability to work effectively in a fast-paced, high-volume environment

  • Automotive industry experience will be advantageous
