Fidelity Services Group, through its Fidelity ADT division, is currently recruiting for a reliable and detail-oriented Administrator – East Rand, based in Benoni, Gauteng. This role plays a vital part in ensuring that technical, sales, and operational teams function smoothly through effective scheduling, reporting, and administrative control.
About the Role
The Administrator is responsible for the effective completion of all administrative duties relating to the allocated area. The position requires strong organisational skills, excellent communication abilities, and the capacity to manage multiple priorities while supporting technicians, management, sales teams, and clients.
The successful candidate will ensure efficient job scheduling, stock control, technical coordination, and reporting while maintaining high operational standards across the department.
Key Responsibilities
Scheduling and Job Coordination

Collect and manage quotes for the allocated area.

Ensure all quotes are correctly loaded and updated on Listener.

Assign approved quotes to technicians.
-
Prioritise calls and jobs to optimise technician travel time.

Schedule service and installation jobs according to technician availability and geographic location.
-
Contact clients to schedule and confirm appointments, including telephone technical bookings and control room scheduling.

Assist the sales team with technician bookings.
-
Void aged jobs where required and provide pipeline figures for installations.
-
Follow up on all forwarded jobs to ensure same-day scheduling.
Technical and Operational Support
-
Assist Johannesburg teams with the distribution of job cards.

Ensure all documentation received from OTC is handed to the Technical Manager for technician allocation.

Provide invoice statistics to the Technical Manager.
-
Assist technicians with radio loading and testing.
-
Provide technical assistance to clients when required.
-
Support EHS-related administrative tasks.
-
Resolve scheduling queries promptly and escalate complex issues when necessary.
-
Ensure operational continuity by supporting the department during team member absences.
Reporting and Monitoring

Compile BNS and insurance reports.
-
Schedule installations for Cape Town sales teams.
-
Monitor and follow up on Top 20, Low Battery, and Overactive system lists.

Compile weekly and monthly operational reports.
-
Assist with technical invoicing and documentation control.
Stock and Warehouse Administration

Assist with ordering, issuing, and controlling stock.
-
Support warehouse responsibilities, including stock takes.
-
Distribute service and installation stock to technicians.
-
Maintain accurate records of stock movement and usage.
General Administrative Duties

Provide comprehensive administrative support to management.
-
Coordinate meetings, including agenda preparation and minute taking.
-
Type, distribute, and file correspondence from the Operations department.
-
Maintain the Manager’s diary and filing system.
-
Screen and prioritise all documentation and correspondence for the Manager.
-
Answer and screen all calls directed to the Manager.
-
Coordinate and book operational travel and accommodation when required.
Minimum Qualifications and Experience
-
Grade 12 or equivalent qualification.
-
Minimum of 2 years’ administrative experience.
-
Excellent verbal and written communication skills.
-
Strong computer literacy, including MS Office.

Experience working on Listener will be advantageous.

Ability to work accurately under pressure and meet deadlines.
