Position Overview

The Administration Clerk: Supervisor (Patient Administration) will manage medical records, oversee reception functions, ensure accurate patient referral documentation, and supervise administrative support staff. This role requires excellent organisational skills, strong communication, and the ability to work shifts in a 24-hour healthcare environment.


Key Responsibilities

Medical Records & Data Management

  • Manage, receive, capture, and scan medical records.

  • Ensure secure storage, confidentiality, and accessibility of patient documentation.

  • Retrieve files for Healthcare Practitioners (HCPs) and management.

  • Handle queries related to medical records and patient information.

Reception & Secretarial Services

  • Provide professional front-line patient reception services.

  • Manage referral documentation for referred patients.

  • Offer comprehensive secretarial support to the unit as required.

Reporting & Statistics

  • Compile and submit accurate monthly and quarterly statistical reports.

  • Ensure data integrity in line with Public Service requirements.

Supervisory & Operational Duties

  • Lead and supervise administrative personnel within the Patient Administration division.

  • Resolve operational issues and escalate where necessary.

  • Work day and night shifts as part of a rotational roster.


Minimum Requirements

  • Grade 12 / NQF Level 4 or equivalent.

  • Minimum of 3 yearsโ€™ experience in Patient Administration.

  • Experience with PERSOL/PERSAL will be an added advantage.

Knowledge & Skills:

  • Knowledge of clerical practices and patient administration processes.

  • Ability to capture data and manage statistics.

  • Understanding of Public Service legislative frameworks.

  • Knowledge of departmental procedures and protocols.

  • Strong planning and organisational skills.

  • Computer literacy (MS Office).

  • Excellent written and verbal communication skills.

  • Language proficiency and ability to interact professionally.
