Position Overview

The Administration Clerk: Supervisor (Patient Administration) will oversee patient-related administrative functions, manage health records, ensure compliance with referral and documentation procedures, and supervise patient reception and support staff.
This is an excellent opportunity for a detail-oriented professional with solid administrative experience in healthcare or patient administration.


Key Responsibilities

Patient Administration & Records Management

  • Manage patient reception services and supervise patient administration workflow.

  • Oversee accurate data capturing, scanning, filing, and retrieval of health records.

  • Manage medical debts, accounts, and spectacle services.

  • Ensure proper handling of patient information and documentation.

  • Oversee referral documentation for all referred patients.

Operational & Secretarial Duties

  • Render professional secretarial and reception services.

  • Handle telephonic enquiries and ensure excellent patient communication.

  • Maintain strict confidentiality and compliance with departmental policies.

Statistics, Reporting & Problem-Solving

  • Compile monthly and quarterly statistics for management review.

  • Retrieve records required by healthcare practitioners and leadership.

  • Identify workflow issues and implement supervisory solutions.


Minimum Requirements

  • Grade 12 / NQF Level 4 or equivalent.

  • At least 3 years of experience in Patient Administration.

Knowledge & Skills:

  • Strong understanding of clerical duties, data capturing, and statistics.

  • Knowledge of Public Service legislation, policies, and procedures.

  • Computer literacy (MS Office).

  • Ability to communicate effectively (written and verbal).

  • Good planning, organisation, and language skills.

  • Ability to supervise staff and maintain service standards.
