Position Overview

The Administration Clerk: Supervisor will oversee general clerical and administrative functions within the Light Workshop Troop (LWT) Section. The role ensures effective document management, correspondence processing, personnel administration, and operational support for the unit.


Key Responsibilities

  • Supervise and provide general clerical support services.
  • Organise and manage administration for the LWT Section.
  • Record, sort, and distribute incoming and outgoing mail and faxes.
  • Answer telephone enquiries and provide support in document preparation.
  • Maintain filing systems to ensure easy document retrieval.
  • Process letters, submissions, agendas, minutes, and memorandums.
  • Check documents for completion, accuracy, and compliance.
  • Type business letters, reports, agendas, minutes, and memorandums.
  • Perform elementary personnel administration, including leave management.
  • Forward statements and enquiries to HR and maintain LWT member records.
  • Assist with LWT Section planning, budgeting, and expenditure of state funds.
  • Maintain records of transport and vehicle repairs, scheduled and non-scheduled.
  • Prepare reports on administration issues and statistics.

Minimum Requirements

  • Grade 12 (NQF Level 4) or equivalent.
  • Minimum of 3 years’ administrative experience.
  • Knowledge of the Public Service Act Personnel (PSAP) framework.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint).
  • Strong verbal and written communication skills.
  • Planning, organising, and analytical skills.
  • Good interpersonal skills and initiative in administration work.
