Purpose of the Role

The Administration Clerk renders general clerical, supply chain, personnel, financial, and administrative support services within their assigned court or office — contributing to the operational efficiency, compliance, and service delivery standards of the Department of Justice at the local level.


Key Responsibilities – Administration Clerk

Clerical Support Services

  • Render general clerical support services — managing correspondence, filing, document control, record-keeping, and general office administration within the component.
  • Maintain accurate, organised filing systems — ensuring all documents, files, and records are correctly stored and retrievable in accordance with DoJ&CD filing standards and the National Archives Act.

Supply Chain Clerical Support

  • Provide supply chain clerical support services within the component — assisting with procurement requests, delivery confirmations, stock control, and asset management administration in accordance with the PFMA and Treasury Regulations.
  • Maintain accurate records of supply chain activities — supporting audit readiness and financial compliance across the component’s procurement and logistics functions.

Personnel Administration Support

  • Provide personnel administration support within the component — processing leave records, attendance registers, HR documentation, and other human resources administrative requirements.
  • Maintain personnel files and records accurately and confidentially — in compliance with POPIA and the DoJ&CD’s HR administrative standards.

Financial Administration Support

  • Provide financial administration support services — assisting with budget monitoring, payment processing documentation, petty cash management, and financial record-keeping within the component.
  • Ensure all financial administration is performed in compliance with the PFMA, Treasury Regulations, and DoJ&CD financial policies.

General Administrative Duties

  • Perform various administrative duties as required — including reception support, telephone management, meeting preparation, and any other ad hoc administrative tasks as directed by the supervisor.
  • Apply computer literacy (MS Office) to all administrative tasks — producing documents, spreadsheets, and presentations to the standard required by the department.
