About the Department

Position Overview
The Administration Clerk provides day-to-day clerical, administrative, and operational support within the Plant Health unit. The role involves maintaining office systems, processing documentation, assisting with procurement activities, facilitating personnel support functions, and ensuring smooth internal workflow.
No prior experience is required, making this an excellent entry-level opportunity for candidates with strong organisational skills and a passion for public-service operations.
Key Responsibilities
General Clerical & Office Support
- Record, organise, store, and retrieve correspondence and operational data.
- Maintain manual and electronic filing systems for the component.
- Handle enquiries, photocopying, scanning, and the distribution of documents.
- Manage the incoming and outgoing mail registers.
- Draft and type correspondence, including letters, memos, and minutes.
Supply Chain & Procurement Support
- Liaise with internal and external stakeholders regarding procurement requests.
- Obtain quotations and complete procurement forms for standard office goods.
- Maintain stock control and order office stationery.
- Keep and update the component’s asset register.
Personnel Administration Support
- Maintain leave records, attendance registers, and personnel files.
- Coordinate travel arrangements and accommodation for officials.
Financial Administration
- Capture and update expenditure records.
- Verify and process subsistence and travel claims.
- Manage petty cash and telephone accounts for the component.
Minimum Requirements
- Grade 12 Certificate (Matric).
- No experience required.
