Position Overview
The Department of Water and Sanitation is seeking a dedicated and detail-oriented Administration Clerk to join the Infrastructure Management – Southern Operations Directorate in Uitkeer. The successful candidate will provide general clerical and administrative support to ensure the efficient running of the Directorate.
This role is ideal for individuals who are organized, proactive, and skilled in multitasking within a professional government environment. You will be handling clerical duties, maintaining records, processing financial documentation, and ensuring seamless communication within the branch.
Key Responsibilities

Provide general clerical support services to the Director and departmental officials.

Maintain incoming and outgoing mail registers and ensure timely distribution of correspondence.

Handle queries and documentation, ensuring accurate and prompt responses.

Maintain an efficient filing and record-keeping system for the Directorate.

Perform photocopying, faxing, and typing of documents and correspondence as required.

Support the Supply Chain Management (SCM) functions, including completing procurement forms and capturing purchase requisitions on the SAP system.

Control and monitor received goods such as stationery, toners, IT equipment, and other office supplies.

Liaise with internal and external stakeholders regarding procurement and delivery of goods and services.

Conduct stock control and maintain an updated asset register for the Directorate.

Assist in arranging travel and accommodation bookings for departmental staff.

Provide financial administration support, including verifying and processing invoices for payment.

Check subsistence and travel claims for correctness and submit for managerial approval.
Minimum Requirements

Senior Certificate/Grade 12 or equivalent qualification.

Knowledge of clerical and administrative procedures within the public service.

Basic understanding of financial systems, especially SAP.

Sound knowledge of the legislative framework governing the Public Service.

Strong organizational and time management abilities.

Excellent interpersonal and communication skills, both written and verbal.

Computer literacy in MS Word, Excel, Outlook, and PowerPoint.
