Role Summary
The Admin Support Specialist is responsible for streamlining the backend operations of the portable building lifecycle. Your mission is to ensure that every project—from the initial building approval to the final on-site installation—moves forward without friction. You will serve as the primary coordinator between customers and suppliers, managing schedules, resolving logistical bottlenecks, and providing proactive updates that ensure a world-class customer experience.
Key Areas of Responsibility
1. Approval & Logistics Coordination

Building Approvals: Coordinate and track the complex building approval processes required for portable structures, ensuring all paperwork is submitted and followed up on timeously.

Delivery Scheduling: Manage the end-to-end scheduling of deliveries and installations, acting as the central liaison between customers and transport suppliers.

Problem Escalation: Monitor project timelines and promptly escalate any issues or delays to the operations team to ensure minimal disruption.
2. Customer Success & Communication

Proactive Updates: Keep customers informed of their project status through phone, email, and text, ensuring clarity and professionalism at every touchpoint.

Digital Reception: Answer incoming calls via a digital phone system during Australian working hours, providing immediate assistance and routing queries correctly.

Conflict Resolution: Handle customer concerns regarding delivery windows or site preparation with a calm, solution-oriented approach.
3. Systems & Documentation

CRM Management: Support all customer service workflows through Fusion AMS Pro, ensuring that lead data and project milestones are recorded accurately.

Record Keeping: Maintain meticulous digital records and documentation for each project, ensuring a complete audit trail from sale to installation.

Process Optimization: Contribute to the refinement of administrative workflows to increase efficiency as the company scales.
Requirements & Competencies
Essential Requirements

Experience: 2+ years of experience in administrative or operations support, preferably with a background in logistics, construction, or scheduling.

Communication: Exceptional written and verbal English skills; you must be comfortable and professional on the phone.

Schedule: Must be fully comfortable and available to work AEST (Australian) Hours (typically starting very early morning in South Africa).

Technical: Tech-savvy with the ability to master new systems quickly (Training for Fusion AMS Pro will be provided).
