Educational Qualification

Experience and Skills

Minimum 2 years’ experience in administration, office management, or related fields

Role Purpose – Supporting College Administration and Student Services
Admin Clerks are essential to the smooth operation of campus administration. They ensure:

Accurate registration and record-keeping of students’ academic data

Compliance with Department of Higher Education and Training (DHET) reporting standards

Efficient processing of online applications and enrolments
-
Coordination of student marks, absenteeism, and bursary administration
-
Streamlined procurement, requisition, and goods verification processes
By providing strong administrative support, Admin Clerks enable college leadership to focus on strategic education delivery and student success.
Key Duties and Responsibilities
1. Student Registration and Data Management
-
Administer registration processes according to college SOPs
-
Capture and verify student information accurately in BMS system
-
Print and distribute control lists and class registers
-
Screen online applications and respond to student enquiries
-
Maintain confidential, updated, and accessible student academic records
2. Office Administration and Correspondence
-
Operate campus switchboards, direct calls appropriately
-
Prepare and type submissions, letters, and memoranda
-
Administer filing systems to ensure proper documentation and record-keeping
-
Maintain inventory of office supplies and manage requisitions
3. Procurement and Financial Administration
-
Capture and administer requisition forms
-
Receive goods and services, verify deliveries against documents
-
Follow up on outstanding orders and maintain procurement documentation
-
Provide administrative support for bursary applications and campus financial processes
4. Reporting and Compliance
-
Ensure accurate submission of student data to DHET
-
Support campus management by providing reports on registration and procurement processes
-
Maintain adherence to internal policies, SOPs, and regulatory standards
5. Stakeholder Engagement and Customer Service

Attend to student, staff, and public enquiries efficiently

Ensure professional communication with colleagues, students, and external stakeholders
