Role Overview
The Admin Clerk – Data Capturer is responsible for the accurate capturing, logging, and processing of patient and laboratory data to support quality outputs and service delivery objectives. The role ensures that patient information, medical aid details, specimen records, and laboratory documentation are recorded correctly and timeously to facilitate smooth laboratory workflows.
In addition to data capturing, the position includes reception support, stock control, specimen tracking, customer service, and compliance with laboratory protocols.
Key Responsibilities
Data Capturing and Patient Information Processing
The successful candidate will capture patient information and medical aid details from doctors’ report forms to ensure correct and efficient processing. This includes accurate logging of patient registration forms onto computerised database systems according to approved standard operating procedures used for reporting, billing, and patient payments.
The role requires checking and verifying registration forms electronically to ensure dependable and accurate patient results while maintaining strict attention to detail.
Administrative and Operational Support
The Admin Clerk – Data Capturer will be responsible for capturing data accurately and timeously to ensure quality outputs. The role includes assisting on the switchboard to ensure effective communication and operational continuity.
Ordering stationery and monitoring the availability of administrative resources forms part of the role to ensure uninterrupted service delivery within the laboratory and reception environment.
Specimen Dispatch, Tracking, and Hospital Rounds
The position includes ensuring the dispatching of specimens for processing in accordance with prescribed standard operating procedures. This involves monitoring progress, filing reports, handling queries, and supporting report delivery in line with prescribed turnaround times.
The role further requires performing hospital rounds to distribute reports and collect submitted samples for processing while ensuring compliance with all relevant procedures.
Customer Service and Query Resolution
The Admin Clerk – Data Capturer is responsible for handling and referring administrative queries and customer complaints to ensure timely resolution. This includes logging incidents, documenting customer complaints, and recording problem solutions in compliance with organisational policies and laboratory information management systems.
The role demands empathy, patience, and professionalism when dealing with nervous or distressed patients while maintaining confidentiality and sensitivity at all times.
Stock Control, Housekeeping, and Equipment Support
The successful candidate will monitor stock levels, order additional materials when required, and ensure delivery of stock to doctors’ rooms. Basic housekeeping duties form part of the role, including cleaning and preparation of equipment in accordance with standard operating procedures.
The position also includes specimen storage responsibilities through electronic scanning to ensure easy access for after-request testing, maintenance of laboratory equipment to ensure good working order, and adherence to waste removal practices in line with waste removal policies and procedures.
Training, Compliance, and Professional Conduct
The Admin Clerk – Data Capturer is responsible for own training as well as assisting with new staff training and maintaining accurate training records to ensure continuous development. The role requires adherence to organisational policies, laboratory protocols, uniform standards, and ethical conduct at all times.
Compliance with laboratory information systems, organisational procedures, and professional standards is a key requirement of this position.
Minimum Requirements
To be considered for this role, candidates must meet the following requirements:

Grade 12 or relevant NQF Level 4 qualification

Valid driver’s license

Accurate typing ability and strong administrative skills

Ability to speak Afrikaans and English
