Position Overview

The Secretary (x7 posts) will provide professional secretarial and administrative support at SA Army Headquarters. This role involves managing communications, organizing meetings and events, typing correspondence, handling classified documents, and coordinating travel and accommodations for Chief Director Force Structure Elements.

The ideal candidates are organized, reliable, discreet, and proactive, with excellent secretarial and administrative skills, and the ability to work under pressure.


Key Responsibilities

1. Administrative & Secretarial Support

  • Receive and direct incoming telephone calls to relevant role players.

  • Type and prepare documents, memorandums, letters, and reports.

  • Handle classified documents and ensure proper filing and security.

  • Perform secretarial functions during board meetings and official gatherings.

2. Event & Travel Coordination

  • Arrange venues for meetings and events, inviting all relevant participants.

  • Organize accommodation, travel, and subsistence & travel (S&T) advances and claims for senior personnel.

  • Ensure schedules and diaries are accurately maintained and updated.

3. Office Management & Compliance

  • Demonstrate discretion and tact in all official interactions.

  • Follow Department of Defence procedures, policies, and standards.

  • Maintain confidentiality while managing sensitive documents and communications.


Minimum Requirements

Education & Qualifications:

  • Grade 12 (NQF Level 4) or equivalent.

  • Secretarial or administrative experience is advantageous.

Experience & Skills:

  • Strong communication skills in English (written and verbal).

  • Computer literate (MS Word, PowerPoint, Excel).

  • Good planning, organizational, and coordinating skills.

  • Excellent telephone etiquette and interpersonal skills.

  • Creative, innovative, detail-oriented, and reliable.

  • Ability to obtain confidential clearance within a year of employment.
