Position Overview
The Secretary will provide professional secretarial and administrative support to the General Officer Commanding (GOC) at ASB Bloemfontein. This role requires managing telephone communications, scheduling meetings, organizing travel and accommodation, taking notes, and performing clerical duties to support the GOC’s office.
The ideal candidate is highly organized, reliable, discreet, and professional, with strong communication and administrative skills.
Key Responsibilities
1. Administrative & Secretarial Support
-
Answer incoming telephone calls and direct them appropriately.

Make calls on behalf of the GOC when required.

Type, prepare correspondence, and maintain records for the GOC.

Update and manage the GOC’s diary efficiently.

Submit claims for accommodation and travel expenditures.
2. Meetings & Travel Coordination
-
Arrange meetings for the GOC, including booking venues and refreshments.
-
Organize the GOC’s journeys and accommodation for official engagements.

Collect relevant reports, newspaper clippings, or documents of importance.

Record notes and minutes as required during meetings.
3. Office Management & Compliance
-
Maintain confidentiality and act with tact and discretion.

Follow all relevant policies, procedures, and Department of Defence regulations.

Perform general office duties including document management and correspondence handling.
Minimum Requirements
Education & Qualifications:
-
Grade 12 (NQF Level 4) or equivalent.
-
Secretarial or administrative experience is an advantage.
Experience & Skills:
-
Proficient in MS Word, PowerPoint, Access, and Excel.

Strong typing skills and attention to detail.
-
Excellent written and verbal communication skills in English.

Sound organizational, analytical, and problem-solving skills.
