Position Overview

The company is seeking a detail-oriented and highly organised Property Administrator to join its Cape Town office. This permanent, full-time position is ideal for someone who thrives in a structured, fast-paced environment and enjoys balancing administrative, tenant management, and accounts-related responsibilities.

As the Property Administrator, you will play a key role in supporting day-to-day property operations, ensuring all lease documentation, billing processes, and maintenance coordination are managed efficiently. The role requires strong communication skills, attention to detail, and the ability to liaise effectively with tenants, landlords, and service providers.


Key Responsibilities

1. Tenant and Property Administration

  • Serve as the first point of contact for tenant inquiries, billing queries, and general administrative communication.

  • Maintain accurate and up-to-date records of all property leases, tenant details, and rental schedules.

  • Coordinate property maintenance requests and manage follow-ups with service providers.

  • Support communication between landlords, tenants, and contractors to ensure smooth property operations.

2. Accounts and Billing Support

  • Capture invoices accurately and maintain organised payment records.

  • Obtain quotes from suppliers and track approval processes.

  • Follow up on outstanding payments and ensure all tenant billing accounts remain current.

  • Collaborate with the accounts team to reconcile statements and maintain proper financial documentation.

3. Office and Administrative Coordination

  • Maintain administrative schedules, calendars, and filing systems.

  • Support office functions including scanning, filing, data entry, and correspondence.

  • Assist with ad-hoc administrative and operational tasks as required.

  • Demonstrate initiative and flexibility in managing daily priorities and supporting the team.


Minimum Requirements

  • Grade 12 / Matric qualification required.

  • Up to 3 years’ experience in an administrative role, preferably within the property management or real estate sector.

  • Strong working knowledge of Microsoft Office Suite (experience with MDA Property Software is advantageous).

  • Excellent communication skills (verbal and written) with a client-focused approach.

  • Strong organisational skills and keen attention to detail.

  • Ability to multitask, meet deadlines, and manage multiple priorities effectively.

  • Dependable, proactive, and capable of working independently with minimal supervision.
