About the Role

As a Data Entry Specialist, you will act as the operational custodian of data integrity, system cleanliness, and database compliance across the group’s enterprise platforms. You will manage daily database hygiene, run compliance health checks, train users on system processes, and support critical business surges during mergers and acquisitions.

Key Performance Areas & Primary Responsibilities

Database Hygiene & CRM/ERP Maintenance
  • Coordinate, clean, and maintain data hygiene across the group’s central CRM, ERP, and operational monitoring databases.
  • Identify data anomalies, duplicate records, missing fields, and formatting errors, executing precise corrections across large datasets.
  • Manage data administration during mergers, acquisitions, and new business onboarding phases.
Data Compliance Audits & KPI Reporting
  • Conduct routine weekly, monthly, and quarterly compliance checks on operational CRM workflows and data cleanliness.
  • Generate and circulate data compliance KPI reports, tracking error trends and highlighting compliance hotspots to executive management.
  • Champion data cleanliness and corporate compliance standards across all regional business units.
Training, Process Support & Hotspot Coverage
  • Review, update, and distribute CRM operational training materials, workflow memos, and user onboarding guides.
  • Provide strategic administrative support to adjacent business departments during peak workloads, staff holidays, or acquisition surges.
  • Prepare and deliver internal presentations and operational updates regarding data compliance metrics.
ISO & Regulatory Compliance Management
  • Maintain strict alignment with ISO standards (ISO9001 for Quality, ISO14001 for Environmental, and ISO27001 for Information Security).
  • Enforce “clear desk and clear screen” policies, report IT security incidents immediately, and eliminate deliberate breaches in system security.
  • Adhere to all relevant British Standards and accreditation body requirements (NSI, BAFE, FIA).

Minimum Requirements – Remote Data Entry Specialist

Qualifications & Technical Experience
  • 3+ years of proven experience as a Data Entry Specialist, Data Quality Clerk, or Database Administrator (Essential).
  • Advanced Microsoft Excel skills (complex formulas, data cleaning tools, lookup functions, pivot tables) (Essential).
  • Proficiency across Microsoft 365 applications (Word, PowerPoint, Outlook, Teams).
  • Fluency in English (5/5 verbal and written proficiency with clear, low-accent communication capabilities) (Essential).
Preferred Qualifications & System Experience
  • Direct experience using specialized Fire & Security CRM/ERP platforms such as JobLogic, CASH, WinSIMs, or Microsoft Dynamics (Highly Advantageous).
  • Microsoft Office Specialist (MOS) Expert Certification in Excel (Highly Advantageous).
