About the Role

Lion Sands – Kruger Park is a flagship luxury lodge property within the MORE Collection group, operating across multiple stock-holding departments that together represent a significant and complex inventory environment. As Inventory Controller, you will manage, control, and maintain accurate and compliant end-to-end inventory processes across the full property — covering Beverage, Housekeeping (Amenities and Cleaning), Galleries and Creative Lab (Retail, Art, and Curated Product), Kitchen (Food and Cleaning Products), Spa (Retail and Professional Products), Medication and First Aid Stock, Stationery, and Operational Equipment across all departments.

This role requires both the technical proficiency to operate and maintain inventory systems — including MyStock, MyInventory, Sage Inventory, and POS platforms — and the supervisory authority to direct and verify the work of the Storeman and Inventory Administrator functions. You will lead month-end stock count processes, reconcile POS sales against inventory depletion, investigate variances, enforce SOPs, and compile the monthly inventory reporting pack for sign-off by the Financial Manager and Group Inventory Manager.

The Inventory Controller is a control function, not an execution function — you verify, validate, investigate, and enforce. The Storeman executes physical tasks; you ensure their compliance with the systems and standards that protect the property’s inventory integrity. Key Responsibilities

Inventory Governance & Daily Controls

• Oversee all daily stock movements across all departments, ensuring full SOP compliance at all times.
• Verify all transactions captured by the Inventory Administrator, including Purchase Orders, GRNs, Transfers (internal and external), Wastage and Write-Offs, Credits, Issues and Consumption, and Master Data Updates.
• Reject and correct inaccuracies identified in captured transactions before the daily cut-off, maintaining the integrity of the inventory system in real time.
• Ensure item categorisation — including Unit of Measure, Cost, and VAT rules — aligns with MORE Collection Group standards across all departments.
• Notify the Group Inventory Manager of unusual changes, irregularities, or systemic compliance concerns without delay.

Sales vs Consumption Reconciliation

• Reconcile POS sales against inventory depletion for all high-risk areas, including the Bar (Minibar, Game Drive, and Inclusive Sales), Gallery and Creative Lab Retail, and Spa Retail.
• Validate recipe-linked items for correct depletion in the system, including cocktails and pouring items.
• Investigate all consumption discrepancies same-day, applying movement logs, POS data, GRN records, and usage patterns to identify root causes.
• Enforce the “no replenishment without reconciliation” SOP across all relevant departments without exception.

Transfers, Issues, Wastage & Credit Management

• Verify that all stock transfers include correct documentation, authorised signatures, and matched values before approval.
• Ensure all departmental issues are supported by valid usage sheets, rejecting unsupported requisitions.
• Validate all wastage entries and confirm that proper authorisation has been obtained in every instance.
• Confirm that supplier credits are correctly raised and fully reconciled against the relevant invoices and GRNs.

Purchase Order Controls & Budget Alignment

• Validate all purchasing requests against departmental budgets, approved PAR levels, and minimum/maximum or reorder point settings before authorisation.
• Confirm that all POs use correct item codes, Unit of Measure, supplier details, pricing, and delivery information.
• Notify the Group Inventory Manager of any unusual purchasing patterns, price deviations, or irregularities identified during PO validation.

Receiving, Storage & Storeroom Integrity

• Provide oversight of GRN accuracy and three-way matching — PO to Delivery Note to Invoice — ensuring all receipts are correctly verified before system capture.
• Oversee FIFO rotation and expiry control across all storerooms, ensuring compliance with food safety and product integrity standards.
• Enforce chemical segregation and operational equipment protection standards across all storage areas.
• Monitor storeroom access control and key registers, ensuring that physical security protocols are consistently maintained.
• Conduct and oversee weekly storeroom housekeeping and safety audits, addressing non-compliance promptly.

Cycle Counts & Full Stock Counts

• Lead mid-month and month-end stock counts across all inventory locations on the property.
• Ensure blind counts for all high-risk items — Beverage, Food, Gallery Retail, and Housekeeping Amenities and Cleaning — are conducted without prior system visibility to count teams.
• Investigate all stock count variances using movement logs, POS data, GRNs, and usage pattern analysis, ensuring every variance is fully explained and formally approved.

Month-End Process & Reporting

• Manage the full month-end inventory process across all stock locations, in collaboration with all Heads of Department.
• Compile the month-end reporting pack, including opening and closing balances, purchases, issues and transfers, wastage, sales versus consumption summaries, variance reports, and count sheets.
• Compile and maintain the Inventory Workbook for the property.
• Obtain final sign-off from the Financial Manager and the Group Inventory Manager on all month-end inventory submissions.

Master Data, Pricing & System Integrity

• Maintain accurate item master data in MyStock, MyInventory, or Sage Inventory, ensuring all records are current and correctly structured.
• Submit item creation and change requests via the approved workflow, maintaining a clean and auditable data trail.
• Ensure that all selling prices comply with the Group’s margin policy and that any pricing deviations are escalated and approved appropriately.

Risk, Compliance & Audit Readiness

• Maintain separation of duties across the full inventory cycle: request, capture, approval, issue, and reconciliation.
• Keep complete digital document trails — including POs, GRNs, Issues, Transfers, and Credits — that are audit-ready at all times.
• Enforce physical security controls, including locked cages, CCTV coverage verification, and key register maintenance.
• Support internal and external audits with accurate, complete, and well-organised inventory records.

Minimum Requirements

Qualifications

• A relevant qualification in Accounting, Finance, Supply Chain, or Hospitality Management is advantageous

Experience

• 2–4 years’ experience in hospitality inventory management or multi-department stock control
