Core Duties & Responsibilities
The Campus Administrator manages an extensive, multi-functional administrative portfolio structured across four core operational areas:
1. General Administration & Secretarial Support

Render comprehensive administrative support services directly to campus management and academic faculties.

Draw up a campus enrolment plan systematically for both National Certificate Vocational (NCV) and Report 191 programmes.

Gather departmental information and compile reports for the A-TEAM and Campus Management structures.

Prepare high-quality institutional reports, presentations, and official correspondence.
-
Arrange official meetings, conferences, workshops, and other gatherings as required, providing elite secretarial support.
2. Human Resource Administration & Coordination

Coordinate, track, and process staff leave forms before secure submission to the central office.

Coordinate Performance Management and Development System (PMDS) documents and verify compliance before central office delivery.

Compile and organize all relevant documentation pertaining to staff disciplinary cases and grievances.

Follow up and resolve all human resource administration queries and issues emanating from campus personnel.

Maintain secure human resource records, manage staff files, and monitor the daily staff attendance register.

Coordinate the compilation of duty registers and process payment files for part-time lecturers.

Support the active implementation of college staff wellness programmes at a local campus level.
3. Procurement Services & Filing Systems

Recommend purchase requisitions to the Campus Manager and draft detailed procurement memos.

Complete official internal requisition forms and follow up on pending campus orders.

Receive incoming goods and services, verify their absolute correctness against appropriate delivery documentation, and coordinate the submission of invoices to the central office for processing.

Maintain a proper filing system according to Quality Management System (QMS) requirements and the National Archives Act.

Keep an accurate record of postage received from the central office and ensure distribution registers are maintained by relevant officials.
4. Student Registration & Examination Processes

Coordinate and assist directly in the registration process for incoming and returning students.

Process the details of student applications for academic programmes and credit exemptions.

Capture, reconcile, and monitor student information, ensuring fast resolution of data exceptions and corrections.

Store and safeguard student Portfolios of Evidence (PoEs) and historical student records.

Scan essential student documentation and securely coordinate local national examination logistics.
Minimum Appointment Requirements
Applicants must meet the following criteria to pass initial human resource screening:

Academic Credentials: A Bachelor’s Degree or National Diploma (NQF Level 6) in Office Management and Technology, Public Management, or a relative qualification recognized by the South African Qualifications Authority (SAQA).

Practical Experience: 1 to 2 years of proven work experience within a formal administrative or office management environment.

Logistical Prerequisite: Possession of a valid, unendorsed Driver’s License is mandatory.

Theoretical Knowledge: Solid understanding of office administration protocols, public service legislations, and TVET/CET administration. Working knowledge of Higher Education sector frameworks, cost center budgetary workflows, expenditure controls, cash flow management, the Employment Equity Act, Public Service Regulations, Public Service Act, PFMA, and Batho Pele Principles.

Technical Skills: High proficiency in computer literacy, planning and organizing, financial management, report writing, project management, team leadership, client orientation, and interpersonal relations.
