Role Purpose & Operational Context

Operating within a large-scale commercial poultry abattoir and fast-moving consumer goods (FMCG) environment presents unique safety, health, and environmental complexities. From managing high-speed automated processing equipment and wet floor management to overseeing biological hazard controls and waste management systems, the plant operates under strict statutory parameters. The SHEQ & ISO Administrator plays a foundational role in safeguarding workplace safety, tracking occupational injuries, managing risk data, and maintaining compliance certifications.

This role requires a dedicated professional who can comfortably bridge the gap between administrative record-keeping and active floor monitoring. You will serve as the primary administrative partner to the SHE Officer and the broader Health & Safety management team. Beyond compiling technical risk summaries and taking precise minutes at statutory committee meetings, the incoming administrator must possess the operational maturity to handle active emergency scenarios and directly guide contractors, subcontractors, and on-site tradespeople regarding corporate safety rules.

Operational Agility Requirement: Due to the 24/7 nature of food manufacturing and agricultural processing cycles, the candidate must demonstrate a complete willingness to work shifts, irregular overtime, weekends, and public holidays when operational emergencies, production surges, or audit cycles demand on-site administrative governance.

The Compliance and Non-Conformance Resolution Protocol

A central duty of this placement involves processing incidents, evaluating hazardous conditions, and auditing compliance failures. The SHEQ & ISO Administrator executes a systematic approach to root-cause tracking, as outlined in the operational workflow below:

1.Incident Identification & Data Capture:Real-Time Reporting.

Promptly log all accidents, on-site incidents, and “near hits.” Process physical Accident/Incident and Injury on Duty (IOD) forms directly into the centralized spreadsheet network and internal safety tracking databases.

2.Root-Cause Analysis Coordination:Collaboration Phase.

Evaluate structural incident trends alongside line supervisors and operational managers. Use specific Hazard Identification & Risk Assessment (HIRA) tools to isolate root causes and uncover underlying unsafe behaviors or floor conditions.

3.Corrective & Preventative Action (CAPA) Formulation:Action Planning.

Draft comprehensive, localized action plans designed to eliminate identified hazards, update affected Standard Operating Procedures (SOPs), and correct non-compliant workplace behaviors.

4.Floor-Level Dissemination & Review:Toolbox Talks.

Draft and distribute relevant safety documentation and technical toolbox talks across all processing departments. Collect, verify, and archive attendance registers to ensure total compliance communication tracking.

 

Key Duties and Responsibilities

1. Core ISO Management Systems Administration

  • Develop, implement, maintain, and continuously optimize the branch’s Integrated Management System (IMS) in strict alignment with ISO 22000 (Food Safety), ISO 14001 (Environmental Stewardship), and ISO 45001 (Occupational Health & Safety) criteria.

  • Coordinate, schedule, and perform rigorous internal audits to verify consistent operational compliance across all processing departments.

  • Organize documentation, index compliance reports, and prepare internal floor teams for high-stakes external audits conducted by official certification bodies.

2. Safety Committee & General Administration Support

  • Provide extensive clerical, logistical, and database support to the SHE Officer, taking detailed minutes at formal Health and Safety Committee Meetings and safety forums.

  • Coordinate the monthly safety meeting lifecycle: distribute agendas, secure sub-departmental data submissions on time, and publish finalized minute notes to line managers.

  • Assist with the appointment, registration, and tracking of certified safety representatives across all abattoir divisions.

3. Contractor Governance & Induction Management

  • Manage the mandatory health and safety induction processes for all external contractors, operational visitors, and newly boarded employees entering the facility.

  • Monitor on-site tradespeople, third-party builders, and technical sub-contractors to ensure total alignment with Construction Regulations and internal safety frameworks, referring compliance failures to line management.

4. Emergency Preparedness & Contingency Planning

  • Support the SHEQ Management team in formulating, reviewing, and updating emergency action protocols and contingency frameworks.

  • Assist in drafting emergency procedures for complex hazards including industrial actions, fire incidents, explosions, structural bomb threats, political unrest, and localized natural disasters.

  • Assume temporary, structured site administrative control in immediate emergency or accident scenes to protect staff and preserve corporate data integrity.

Minimum Requirements & Desired Profile

Academic Standards & Professional Certifications

  • A completed Grade 12 / NQF Level 4 Equivalent senior certificate.

  • A recognized Health and Safety tertiary qualification or diploma is highly preferred.

  • Highly Advantageous Qualifications: SAMTRAC, SHEMTRAC, Hazard Identification & Risk Assessment (HIRA) certifications, and formal Legal Compliance Assessment training.

  • Certified Internal or Lead Auditor status (specifically within ISO 45001, ISO 14001, or ISO 22000) will give your profile a substantial competitive advantage.

Experience Baseline & Industry Knowledge

  • A minimum of 1 year of direct, referenceable experience in a dedicated health and safety administrative or coordination capacity.

  • Practical working exposure to Construction Regulations and NOSA safety frameworks.

Essential Technical Skills
