What Does a Government Administrative Officer Do?

Administrative Officers are essential to the effective functioning of the Defence Policy, Strategy and Planning Division. In this role, you will be responsible for providing comprehensive administrative support services — assisting with business plan planning and implementation, supporting Human Resource Management, Logistics, Asset and Financial administration, and providing ICT administration support — ensuring the smooth and compliant operation of the Directorate at all times.

This is a senior, multi-functional administrative role that requires a relevant NQF Level 6 qualification, a minimum of three years’ related experience, advanced computer skills, and a thorough knowledge of public sector policies, legislation, and departmental procedures.


Key Responsibilities of an Administrative Officer

Business Plan Planning & Implementation Support

  • Assist with planning and implementation in respect of the business plan of the Directorate.
  • Support the coordination of divisional planning activities and ensure alignment with departmental objectives.
  • Monitor progress against business plan deliverables and assist with reporting as required.

Human Resource Management Administration

  • Assist with the administration of Human Resource Management functions within the division.
  • Support HR-related administrative processes including leave, personnel records, and related documentation.
  • Ensure all HR administrative tasks are completed accurately and in line with departmental policies and procedures.

Logistics & Asset Administration

  • Assist with logistics and asset administration support services within the division.
  • Maintain accurate records of departmental assets and ensure compliance with asset management policies.
  • Support the procurement and logistics administrative functions as directed.

Financial Administration Support

  • Provide financial administration support services within the division.
  • Assist with budget-related documentation, expenditure tracking, and financial record keeping.
  • Ensure all financial administration activities comply with applicable public sector financial management legislation and departmental policies.

ICT Administration Support

  • Provide support in respect of Information, Communication and Technology (ICT) administration within the division.
  • Assist with ICT-related administrative requirements and liaise with relevant technology support functions.
  • Apply advanced computer skills to support divisional operations and reporting requirements.

Minimum Requirements – Administrative Officer

Educational Qualifications:

  • Grade 12 (NQF Level 4) or equivalent (essential)
  • Recognised National Diploma or Advanced Certificate at NQF Level 6 in Office Administration, Public Administration, Management, or a relevant qualification (essential)

Experience:

  • Minimum of 3 years’ experience in a related administrative field (essential)

Knowledge Requirements:

  • Knowledge of relevant Public Sector Policies, Legislation, Regulations, and Acts
  • Knowledge of Departmental policies and procedures
  • Understanding of financial management principles
