Frequently Asked Questions – Administrator Jobs Bellville

What is WorkSmart and why does this role require 1 year of experience with it? WorkSmart is a South African point-of-sale and management information system specifically designed for the contract catering and food service industry — used by major operators including Empact Group for till transaction processing, stock management, recipe costing, procurement, and financial reporting. WorkSmart experience is specifically required because the system has a unique interface and workflow that differs significantly from general accounting or retail POS systems. Candidates with 1+ year of WorkSmart experience can contribute from day one without a lengthy system learning curve — making this experience a genuine competitive differentiator for this role.

What are “par levels” in a food service context? A par level is the minimum quantity of a stock item that must be available at any time to ensure uninterrupted food service production. When stock falls below the par level, a replenishment order is triggered. Par levels are calculated based on average daily usage, supplier lead times, and minimum order quantities — and must be regularly reviewed as menu cycles or client demand changes. The Administrator monitors par levels and initiates daily stock orders accordingly — ensuring the unit’s kitchen never runs short of critical ingredients or consumables.

What does “processing of claims” involve at an Empact unit? Claims in a food service context include: supplier short deliveries (claiming for product not received), damaged goods from deliveries, pricing discrepancies between purchase orders and invoices, and any credit requests from clients for service failures. The Administrator processes these claims promptly — preparing the documentation, communicating with the supplier or client, and following up until resolution. Timeous claims processing directly protects the unit’s budget integrity.
