What Does a Maintenance Planner Do?

A Maintenance Planner at Tsebo Facilities Solutions is responsible for the comprehensive coordination, scheduling, and administrative management of all maintenance activities across assigned facilities. Key Duties & Responsibilities

📋 Maintenance Planning & Scheduling

  • Plan and schedule all preventive, corrective, and routine maintenance activities across assigned facilities and building systems
  • Prepare comprehensive daily, weekly, and monthly maintenance plans aligned with equipment reliability requirements and operational priorities
  • Ensure all required parts, tools, materials, and technical resources are procured, available, and staged before maintenance work begins

  • Operate and administer the Computerised Maintenance Management System (CMMS) — including JDE (JD Edwards) or equivalent platforms — to manage all work orders, asset histories, and maintenance records
  • Update and maintain accurate maintenance records, asset histories, and technical documentation for all facility equipment and systems
  • Ensure all asset register entries, equipment histories, and maintenance logs are current, complete, and audit-ready at all times
  • Support asset lifecycle planning, replacement forecasting, and capital expenditure motivation through accurate CMMS data management

📊 KPI Tracking, Performance Reporting & Compliance

  • Track and monitor key maintenance performance indicators (KPIs) including planned maintenance compliance, mean time between failures (MTBF), mean time to repair (MTTR), and equipment availability rates
  • Prepare and present regular maintenance performance reports for facilities management and client stakeholders
  • Support all reporting, compliance, and safety requirements applicable to the facilities management contract and relevant legislation
  • Ensure engineering readiness for all client audits, statutory inspections, and regulatory compliance reviews
