Purpose of the Role
The Training Administrator serves as the first point of contact for all training-related queries within the Training Department — managing training records, coordinating materials and documentation, supporting correspondence, maintaining filing systems, and providing essential administrative support to the training team and the Manager of Training. Key Responsibilities – Training Administrator
Query Management & First Point of Contact
- Resolve all training-related queries as the first point of contact — providing accurate, helpful, and timeous responses to trainees, staff, and stakeholders.
- Refer any queries that cannot be resolved independently to the relevant person or department, ensuring no query falls through the cracks.
Training Records & Regulatory Compliance
- Update and maintain training records for all trainees in line with aviation regulatory requirements — ensuring all records are current, accurate, and audit-ready at all times.
- File all training records systematically to ensure ease of reference and full compliance with aviation training legislation and South African Civil Aviation Authority (SACAA) requirements.
- Maintain a user-friendly, well-organised filing system — both physical and electronic — that supports efficient retrieval of all training documentation.
Training Materials Coordination
- Monitor training stock and stationery levels — reporting to the relevant team member when orders are required to prevent supply shortages.
- Assist with the ordering and coordination of training manuals, printing materials, and stationery.
- Assist with the compilation of trainee folders and packs, and the printing of training documentation for all training interventions.
Correspondence, Reports & Minutes
- Process and prepare correspondence, reports, and other documents as requested by the training team.
- Compile and distribute meeting minutes and reports when required — ensuring accuracy, completeness, and timeous distribution.
- Collect, sort, distribute, and prepare mail, messages, and deliveries for the department.
Logistics & Administrative Support
- Book venues and meeting rooms upon request for training sessions and departmental meetings.
- Submit expense and travel claims on behalf of team members accurately and within prescribed timeframes.
- Provide general administrative support to the Manager of Training and the broader training team as required.
Minimum Requirements – Training Administrator
Educational Qualifications
