About the Role

Reporting to the Retail Manager, the Administration Supervisor plays a key role in supporting daily store operations. The position involves supervising administrative processes, supporting cash management, coordinating people-related administration, and ensuring compliance with company procedures and safety standards.

This role requires strong organisational skills, attention to detail, and the ability to manage multiple responsibilities while supporting store performance and team effectiveness.


Key Responsibilities

Cash Management

The successful candidate will oversee all cash administration processes, including preparation, coordination, and issuing of floats, daily banking, and consolidation of cash-ups. Responsibilities include preparing paperwork in line with head office financial processes, assisting cashiers with cash drops, allocating change as required, and correcting cashier discrepancies with Retail Manager approval.

You will also ensure readiness for SBV collections and perform accurate cash-ups at the end of each shift.


Administration and Stock Control

The role includes administering old stock write-offs and stock transfers, checking receipt invoices against orders, submitting documentation for GRV, and following up on GRV cycles. Additional duties include issuing purchase orders, managing transfer requests, and maintaining accurate weekly filing systems, records, databases, and administrative documentation.


People Management and HR Support

The Administration Supervisor will support people administration by matching attendance registers against biometric systems, assisting with HR-related queries, processing leave requests, managing uniform and PPE orders, and supporting recruitment as instructed by the Retail Manager.

The role also includes administering casual payments, supporting IR matters in conjunction with HR, and setting up weekly cleaning schedules.


General Duties and Store Support

General responsibilities include upkeep of the canteen, managing stationery and consumable supplies, and standing in for the Retail Manager when required. You will support department managers and colleagues, actively participate in teamwork, and perform additional tasks as assigned by management.


Housekeeping, Safety, and Compliance

The Administration Supervisor ensures that housekeeping and cleaning standards are maintained according to company norms. This includes ensuring correct use of PPE, maintaining personal hygiene standards, promoting health and safety compliance, and keeping work areas clean and hazard-free at all times.


Minimum Requirements

Candidates applying for this position must meet the following requirements:

  • Grade 12 (Matric)

  • Post-matric certificate, diploma, or equivalent qualification (advantageous)

  • Ability to read, write, speak, and understand Afrikaans and English

  • Minimum 2 years’ experience in retail administration or a similar role (FMCG retail experience preferred)

  • Proficiency in Microsoft Office (Word, Excel, Outlook)


Experience and Professional Background

This role is suited to candidates with hands-on experience in retail administration, cash handling, people administration, and operational support. Exposure to FMCG retail environments and store-based administration will be highly advantageous.
