Unitrans is seeking a reliable and detail-oriented Administration Officer II to join the Consumer Division (RCL Milling) on a permanent basis in Pretoria, Gauteng. The role focuses on providing administrative and clerical support under general supervision, ensuring accurate recordkeeping, document processing, and effective coordination with internal teams and clients.


About the Role

The Administration Officer II is responsible for performing a range of clerical and administrative duties that support daily operations. These tasks involve compiling and arranging data, processing documents, maintaining records, and ensuring that all administrative routines are executed accurately and timeously.

The role requires consistent interaction with systems, documentation, and staff, with prescribed routines and readily available supervision. Accuracy, organisation, and professionalism are essential to ensure smooth administrative operations and strong customer relations.


Key Responsibilities

POD and Trip Sheet Administration

The successful candidate will ensure that Proof of Deliveries (PODs) are completed daily and that all trip sheets are collected and checked. This includes verifying that trip numbers are correctly recorded on PODs, ensuring all required PODs are received, and confirming that trip sheets are signed daily.

You will be responsible for loading PODs onto the electronic system, maintaining the required copies and proof, and liaising with clients regarding completed PODs.


Data Recording and Document Control

A key responsibility includes recording all POD-related information on schedules or registers, ensuring accuracy and completeness. Filing must be done daily in correct order number sequence, with all documentation properly maintained and easily retrievable.


General Administrative Support

The role includes general administrative duties such as copying, filing, faxing, handling reception and telephone duties, data capturing, and minute taking. You will also ensure that all files are updated, maintained, and compliant with internal administrative standards.


Payroll and Staff Administration Support

The Administration Officer II will compile daily hours worked, prepare weekly inputs for wages processing, and assist with monitoring and administering staff leave. Maintaining accurate staff records and assisting employees with administrative queries form part of this responsibility.


Customer Service and Internal Support

Ensuring good customer relations through professional daily interaction is essential. You will support internal staff with administrative queries and ensure records are updated and maintained in line with company policies.


Minimum Requirements

Candidates applying for this position must meet the following requirements:

  • Grade 12 / Matric / NQF Level 4

  • Advanced Certificate / NQF Level 5

  • Up to 3 years’ experience in a similar administrative role


Experience and Professional Background

This role is suitable for candidates with prior exposure to clerical or administrative environments, particularly those involving document processing, recordkeeping, data capturing, and routine office administration. Experience in logistics, transport, or operational environments will be advantageous.
