What You’ll Do

General Clerical Support (40% of your time)

  • Record, organize, store, and retrieve correspondence and documents efficiently
  • Maintain comprehensive filing systems for your component
  • Update registers, databases, and statistics accurately
  • Handle routine enquiries from the public and colleagues professionally
  • Type letters, memos, and other correspondence as required
  • Manage incoming and outgoing document registers
  • Make photocopies and handle facsimile/scanning requirements
  • Distribute documents and packages to internal and external stakeholders

Supply Chain & Procurement Support (20% of your time)

  • Assist with procurement processes for office supplies and equipment
  • Obtain quotations from approved suppliers
  • Complete requisition forms and purchase orders
  • Maintain stock control systems for stationery and office supplies
  • Track and record office assets on the asset register
  • Liaise with suppliers regarding deliveries and invoices
  • Support month-end reconciliation of procurement records

Personnel Administration Support (20% of your time)

  • Maintain accurate leave records and registers for staff
  • Capture and update personnel information on systems
  • Monitor and record daily attendance
  • Assist with travel and accommodation arrangements for officials
  • Keep personnel files organized and up to date
  • Support HR processes like recruitment and onboarding (filing, scheduling)
  • Handle confidential information with discretion

Financial Administration Support (20% of your time)

  • Capture and update expenditure data on financial systems
  • Verify subsistence and travel claims for accuracy
  • Submit approved claims to management
  • Reconcile petty cash transactions
  • Maintain records of telephone accounts and usage
  • Assist with budget monitoring and expenditure tracking
  • File and organize financial documentation

Requirements

Essential Qualifications

Grade 12 Certificate (Matric) or recognized equivalent
