Motus Toyota Kempton Park, operating within the Toyota & Hino business unit of Motus Corporation, is currently seeking a highly organised and customer-focused Administrator: Bookings to join its Service Department in Kempton Park, Gauteng.

About the Role

Reporting directly to the Manager: Service, the Administrator: Bookings is responsible for effectively loading the Service Department by managing all available productive hours and allocating them efficiently to Service Technicians. The role ensures optimal workshop utilisation while maintaining excellent customer service standards through accurate booking, scheduling, and follow-up processes.

This position requires strong time management, attention to detail, and the ability to manage multiple priorities in a fast-paced service environment.


Key Responsibilities

Service Bookings and Scheduling

  • Answer all telephone calls in line with approved telephone standards.

  • Use Standard Operating Procedures (SOPs) strictly when taking service appointments.

  • Schedule appointments at ten- to fifteen-minute intervals to maximise customer satisfaction.

  • Allocate available time for appointments, carry-overs, and walk-in customers.

  • Update time buckets consistently using flat-rate times to ensure full utilisation of productive hours.

  • Monitor appointment rates daily and monthly, including carry-overs, repeat repairs, and walk-ins.

  • Track and record no-show rates and document reasons for non-attendance.


Job Card and Workshop Administration

  • Pre-print all repair orders and job cards for the following day.

  • Efficiently check job cards to ensure all required paperwork is attached in line with SOPs.

  • Record all job cards on-site and off-site for easy access and accurate record keeping.

  • Manage booking and control of Special Campaign Recalls.

  • Perform daily pre-printing and administration of job cards.


Customer Communication and Follow-Ups

  • Send timeous service reminders to customers on a daily basis.

  • Ensure effective communication with customers regarding bookings and service schedules.

  • Manage delivery and control of Government and Subsidy vehicles.

  • Maintain accurate appointment records to support service department operations.


General Duties

  • Perform any other reasonable duties required to support the Service Department.

  • Ensure administrative processes are followed consistently and accurately.

  • Support operational efficiency and customer satisfaction within the service environment.


Qualifications and Requirements

  • Grade 12 (Matric) certificate.

  • Computer literacy is essential.

  • Clear credit and criminal record.

  • Strong people-handling skills.

  • Excellent time-management abilities.

  • Excellent verbal communication skills.

  • High levels of empathy and honesty.
