Deliver Exceptional Service Support in a Leading Toyota Dealership Environment

Motus Toyota Kempton Park, operating within the Toyota & Hino business unit of Motus Corporation, is currently seeking a professional and service-driven Administrator: Service Advisor to join its service department in Kempton Park, Gauteng.

This permanent role is ideal for an experienced service administration professional who thrives in a fast-paced automotive environment and is committed to maintaining high service standards while supporting workshop operations and customer satisfaction.


About the Role

Reporting directly to the Service Manager, the Administrator: Service Advisor plays a critical role in coordinating workflow within the service department. The position ensures seamless communication between service advisors, technicians, foremen, and customers while maintaining operational efficiency, compliance, and excellent customer service delivery.

The role requires strong organisational skills, attention to detail, and the ability to manage multiple service processes simultaneously.


Key Responsibilities

Service Department Coordination

  • Coordinate workflow between service advisors, foremen, technicians, and customers.

  • Communicate effectively with all service staff to ensure smooth daily operations.

  • Update customers on service bookings and vehicle progress.

  • Assist the Controller, Foreman, Service Manager, and Service Receptionist when required.

  • Book vehicles into the workshop according to established procedures.


Workshop and Vehicle Control

  • Ensure the security of vehicles by confirming they are locked in workshops and keys are secured in the keysafe.

  • Ensure vehicles are parked outside in the morning and keys are locked in the keysafe.

  • Ensure job cards are signed off by technicians.

  • Confirm that vehicles with specific complaints are test driven with a Foreman or Quality Controller before customer handover.

  • Ensure all vehicles are test driven before completion of service work.

  • Record and report all comebacks accurately.


Parts, Quotes and Sales Support

  • Assist and advise technicians on quotations in a timeous manner.

  • Follow up on parts ordered for the workshop.

  • Ensure parts are ordered according to the approved parts ordering system.

  • Sell accessories and additional work to customers.

  • Prepare quotations for authorisation and follow up on sales not concluded.


Administration and Compliance

  • Ensure work-in-progress and cash outstanding reports are completed daily and submitted to the Service Manager.

  • Maintain a clean and organised work area at all times.

  • Promote and ensure adherence to health and safety standards.

  • Ensure accurate service documentation and reporting.

  • Support compliance with dealership and manufacturer processes.


Qualifications and Requirements

  • Grade 12 (Matric) certificate.

  • Minimum of 3 years’ Service Advisor experience (essential).

  • Toyota Service Advisor certificate (essential).

  • Computer literacy.

  • Clear criminal record.

  • Motor industry experience will be an advantage.

  • Excellent verbal communication skills.
