Motus Hino Mbombela, part of the Motus Corporation and operating within the Toyota & Hino business unit, is seeking a highly organised and service-driven Administrator: Service Advisor to join its dynamic service department in Mbombela, Mpumalanga.

About the Role

Reporting to the Service Manager, the Administrator: Service Advisor plays a critical role in coordinating workflow within the service department. The position serves as a key link between service advisors, technicians, foremen, and customers, ensuring smooth daily operations, accurate administration, and excellent customer communication.


Key Responsibilities

Service Department Coordination

  • Coordinate workflow between service advisors, foremen, technicians, and customers.

  • Update service customers on bookings, progress, and completion timelines.

  • Communicate effectively with all service staff to ensure operational efficiency.

  • Ensure workshop opening and closing procedures are completed accurately and on time.

Vehicle and Workshop Control

  • Ensure the security of all vehicles, including locking vehicles and securing keys in the key safe.

  • Confirm vehicles are parked outside each morning and keys are stored correctly.

  • Ensure all vehicles with specific complaints are test-driven with a Foreman or Quality Controller.

  • Confirm that all vehicles are test-driven before customer collection.

  • Maintain a clean and orderly workshop environment at all times.

Job Card and Administrative Management

  • Create job cards and follow correct booking-in procedures.

  • Ensure job cards are accurately completed and signed off by technicians, foremen, and service advisors.

  • Cost job cards timeously and ensure correct processing.

  • Monitor and record comebacks and report accordingly.

  • Check job cards to ensure compliance with company processes.

Parts, Quotes, and Warranty Support

  • Assist technicians with quotations in a timely manner.

  • Prepare quotations for customer and management approval.

  • Follow up on parts ordered for workshop jobs.

  • Ensure parts are ordered according to the prescribed parts ordering system.

  • Check warranty systems for payments and rejections.

  • Liaise with banks to obtain approval for work to be carried out.

Customer Service and Sales Support

  • Book vehicles into the workshop efficiently.

  • Sell accessories and additional work where appropriate.

  • Follow up on declined or unsuccessful sales.

  • Provide support to the Service Manager, Controller, Foreman, and Service Receptionist.

  • Promote and enforce adherence to safety standards at all times.


Qualifications and Experience

  • Grade 12 (Matric) certificate.

  • Minimum of 3 years’ experience as a Service Advisor.

  • Service Advisor Certificate (essential).

  • Commercial motor industry experience (essential).

  • Computer literacy.

  • Excellent verbal communication skills.

  • Clear criminal record.
