Role Summary

The Patient Intake Coordinator is responsible for managing the front-end operations of the practice. Your primary focus will be converting new patient leads into scheduled evaluations and ensuring that all necessary medical records are organized and ready for the clinical team. This role requires a high level of “soft skills,” including clear enunciation and a professional tone, as well as technical proficiency in CRM management and telehealth coordination.


Key Areas of Responsibility

1. Lead Management & Scheduling

  • Inbound Triage: Answer inbound calls from prospective patients, providing detailed information about medical services and scheduling initial evaluations.

  • Pipeline Management: Use Zoho CRM to manage lead pipelines, ensuring that every referral from the affiliate network is followed up on and converted.

  • Referral Coordination: Schedule patient referrals accurately, maintaining a seamless flow between the practice and its affiliates.

2. Clinical Administration & Records

  • Medical Records: Obtain, track, and organize patient medical records from external providers to ensure the clinical team has a comprehensive history.

  • Telehealth Support: Assist patients in connecting to their virtual appointments, troubleshooting basic technical issues to ensure a smooth telehealth experience.

  • Ledger Management: Process and log patient payments accurately within the practiceโ€™s ledger system.

3. Professional Communication & Compliance

  • Service Excellence: Maintain a friendly, professional demeanor in all interactions, acting as a brand ambassador for the practice.

  • Knowledge Maintenance: Keep up-to-date with evolving medical services, procedures, and office policies to provide accurate information to patients.

  • Operational Reliability: Ensure a 100% dependable remote work setup with high-speed internet to prevent any service interruptions during U.S. business hours.


Requirements & Competencies

Essential Requirements

  • Experience: Minimum of 6 months of experience in a healthcare setting (e.g., medical office, dental practice, or health insurance environment).

  • Communication: Exceptional verbal and written English skills (Mandatory). Must have clear enunciation, a professional tone, and a strong vocabulary.

  • Technical Skills: Proficiency with G Suite (Google Sheets, Docs, Chat) and experience with CRM software (Zoho preferred).

  • Schedule: Must be fully available Monday to Friday, 8:00 AM โ€“ 5:30 PM CST (U.S. Central Standard Time).
