Purpose of the Role
The Van Sheet Clerk is a critical link in our distribution and financial value chain. Your primary responsibility is to ensure the meticulous processing of driver van sheets and internal financial documents. By maintaining strict deadlines and ensuring data integrity, you enable our logistics team to operate smoothly and our finance department to maintain accurate stock and sales records.
Key Job Responsibilities
1. Document & Van Sheet Processing

Accuracy: Process driver van sheets and internal documents (including stock-in-van, credit notes, credit returns, and manual invoices) to the exact standards of the Financial Manager.

Deadline Management: Ensure all processing for the previous day’s activities is completed and finalized by 11h00 the following morning.

Payment Verification: Verify that all payments have been processed and appear on the front page before printing the final driver van sheets.
2. Logistics & Driver Support

Relationship Management: Maintain excellent professional relations with drivers, assisting them with route orders and resolving administrative queries.

Order Support: Assist with the processing of sales orders as and when required to support the broader depot team.
3. Financial Control & Compliance

Pricing Oversight: Immediately identify and report any pricing differences or discrepancies to the Van Sheet Supervisor and relevant responsible persons.

Digital Recordkeeping: Scan all claims using QDocs and ensure information is saved accurately to the appropriate digital inboxes.

System Integration: Utilize Syspro and Excel to maintain the integrity of financial and stock data.
Minimum Requirements
Qualifications & Education
-
Matric (Grade 12): Must have passed with Mathematics and Accounting.
Experience & Skills
-
Work Experience: Minimum of 2–3 years of relevant working experience in general financial administration or a similar clerical role.

Software Proficiency: High level of Computer Literacy is essential, specifically in Syspro and Microsoft Excel.

Communication: Ability to communicate effectively in English (verbal and written).

Precision: Exceptional attention to detail and a “get it right the first time” attitude.

Time Management: Ability to work under pressure to meet strict daily 11:00 AM deadlines.

Problem Solving: Ability to identify pricing variances and logistical discrepancies quickly.
