Role Purpose
The Invoicing Clerk is the financial gatekeeper of the sales process, ensuring that all agricultural goods dispatched are accurately billed and recorded. You will be responsible for the end-to-end invoicing lifecycle, from generating billing documents to reconciling accounts and following up on outstanding payments. Given the shift-based nature of this role, high levels of independence and the ability to maintain accuracy during night shifts are essential.
Key Performance Areas & Responsibilities
1. Invoice Generation & Processing

Billing Accuracy: Create and issue invoices to customers promptly, ensuring that quantities, pricing, and VAT allocations are 100% accurate.

Information Verification: Review and verify all billing data against delivery notes and purchase orders to eliminate discrepancies before final processing.

Software Management: Utilize Sage and Microsoft Excel to process transactions and maintain the digital ledger.
2. Debtor Management & Reconciliation

Account Reconciliation: Regularly reconcile customer accounts to ensure payments are correctly allocated and balances are current.

Outstanding Tracking: Monitor the age analysis of debtors and track outstanding invoices to assist in maintaining healthy cash flow.

Customer Liaison: Professionally communicate with customers via telephone and email to follow up on overdue payments and resolve billing queries.
3. Reporting & Accounting Support

Minimum Requirements & Qualifications
