Position Overview
The primary purpose of the Debtors Administrator is to minimize financial risk to the business. You will be responsible for monitoring active customer accounts and daily cash sale accounts, managing credit terms, and ensuring timeous payment collections. By adhering to customer payment requirements and maintaining professional communication, you will deliver excellent service while proactively preventing bad debt losses.
Key Performance Areas & Responsibilities
1. Collections & Cash Management

Active Collections: Conduct telephonic and electronic collections of all outstanding amounts due to the business.

Target Achievement: Ensure that 100% of the daily and monthly targeted collections are achieved consistently.

Payment Allocation: Process and allocate all received payments as per daily bank statements and deposit slips, ensuring strict adherence to customer remittance advices.
2. Financial Administration

Data Accuracy: Ensure the accurate recording of all transactions within the accounting information system (Evolve experience is highly desired).

Journal Preparation: Prepare journals with comprehensive supporting documentation for approval by the Financial Manager.

Record Keeping: Manage all filing and general administrative duties to ensure a clear audit trail.
3. Query Resolution & Relationship Building

Investigation: Proactively investigate and resolve customer or branch queries on accounts, providing prompt feedback once resolved.

Proactive Prevention: Build and maintain strong relationships with customers to prevent issues from developing.

Escalation: Identify and escalate problem accounts to management within prescribed time frames to mitigate risk.
Qualification and Experience Requirements
To be considered for this debtors role, candidates must meet the following criteria:

Education: Grade 12 (Matric) is mandatory. A Diploma or Degree in Accounting/Finance is preferred.

Experience: Minimum of 2 years of credit control experience is required.

Systems: Intermediate MS Excel skills are mandatory. Previous working experience with the Evolve system is a distinct advantage.

Communication: Multilingualism is an advantage, though fluency in English (read, write, speak) is essential.
