The Mister Sweet site in Wadeville is seeking a detail-oriented and organised Despatch Clerk to join their fast-paced Supply Chain team.
Position Overview
The Despatch Clerk plays a central role in materials coordination, finished goods verification, accurate documentation, and ensuring smooth communication between production teams and Lordsview. This role requires exceptional attention to detail, strong administrative capability, and the ability to work effectively under pressure within a manufacturing environment.
Key Responsibilities
1. Materials Orders Coordination
- Verify and check all orders received from Admin Clerks
- Escalate urgent orders to Lordsview
- Ensure all uplifts are processed within required timelines
- Confirm quantities and material codes (raw & packaging materials) before transfers via ERP (GP)
- Verify returned materials before dispatch to Lordsview
- Ensure Admin Clerks sign for all received materials
- Provide drivers with signed gate releases after offloading
- Verify and sign off accurate driver arrival and departure times
- Update turnaround spreadsheets with correct time entries
2. Finished Goods Management
- Allocate finished goods orders using the production book
- Ensure blue slips are signed and filed during load allocation
- Capture pink vs blue production slip records
- Upload loads on Sizanani; allocate trucks upon arrival and release upon departure
- Ensure daily priority orders and loads are processed according to routing
- Check and stage allocated loads correctly using colour-coded cones
- Print invoices ahead of truck arrival
- Ensure all invoices are signed by the Coordinator/Loadmaster, Security, and Driver
- Maintain clear production areas at NID3 and Picasso
- Complete and attach Chep documentation to all invoices
- Capture Chep transactions in the Chep account
3. Stock Counts & Variance Control
- Participate in accurate cycle counts
- Coordinate full monthly stock counts
- Investigate variances and implement corrective measures
4. Team Coordination & Leadership
- Ensure team members follow organisational policies and procedures
- Monitor timekeeping and task completion
- Escalate operational issues promptly
5. Housekeeping & Logistics
- Return sugar bags to Lordsview with correct documentation
- Arrange Enviroserv collection once 60 pallets accumulate
- Ensure movement of pallets from Gate 2 to Gate 3 each shift
- Report irregularities, cross-loading, damages, and misloads
- Uphold Premier FMCG housekeeping and food safety audit requirements
- Coordinate collection of Illovo flow bins
6. Health & Safety Compliance
- Enforce adherence to OHS Act, SHE policies, and safety procedures
- Promote safety awareness within the team
- Ensure safe stacking practices and handling of moving equipment
Minimum Requirements
- Grade 12 / Matric
- Certificate in Logistics or Supply Chain (advantageous)
- 1–2 years’ experience in a similar despatch or warehouse role
Skills & Competencies
- Strong administrative and office management skills
- MS Office proficiency
- Excellent communication (verbal & written)
- Attention to detail and accuracy
- Ability to work under pressure
- Strong teamwork and deadline management
