Position Overview
The Department of Defence is seeking a well-organised, reliable and professional Secretary to provide essential administrative and secretarial support to the Director. This role requires exceptional communication capabilities, strong computer literacy, and the highest level of discretion when handling sensitive, confidential information.

Key Responsibilities
Secretarial & Administrative Support

Provide professional secretarial assistance to the Director.

Manage and update the Director’s diary, including appointments and events.

Receive, screen and direct telephone calls to relevant personnel.

Operate office equipment such as photocopiers and fax machines.
-
Draft routine correspondence, reports and internal communications.
Travel & Logistics
-
Coordinate travel arrangements for the Chief Director through relevant agencies.

Process travel and subsistence claims.
-
Follow up on bookings and ensure accommodation is approved and confirmed by the Director.
Meetings & Event Coordination

Arrange meetings, book venues, send invitations and organise refreshments.

Prepare schedules and agendas for meetings and strategic sessions.

Record and compile basic minutes of meetings for the Director.
Document & Records Management
-
Maintain an organised filing system for the Director’s office.

Handle all incoming and outgoing correspondence.

Ensure documents submitted for approval meet departmental norms and standards.

Gather and prepare documents for the Director prior to meetings.
Office Administration
-
Manage leave administration for the Director.

Procure office supplies such as stationery and refreshments.
-
Ensure smooth office operations by applying departmental prescripts and policies correctly.
Compliance & Professional Conduct

Keep abreast of Department of Defence policies, procedures and Public Service prescripts.

Maintain confidentiality, professionalism and tact in all interactions.
Minimum Requirements
Applicants must meet the following criteria:

Grade 12 (NQF Level 4) or equivalent essential.

Secretarial/administration experience (advantageous).

Excellent verbal and written communication abilities.

Computer literacy (MS Word, Excel, PowerPoint).

Strong organisational and interpersonal skills.

High reliability, professionalism and ability to work with discretion.

Good telephone etiquette and ability to work with people at various levels.
