About the Department
The South African Air Force (SAAF) ensures operational efficiency and administrative support across its units. Secretaries provide critical support to managers, coordinate schedules, manage documentation, and uphold high standards of administrative excellence.
Position Overview
The Secretary will provide comprehensive administrative and secretarial support to managers, ensuring smooth daily operations. This includes managing diaries, coordinating meetings, handling confidential information, and preparing documentation for internal and external stakeholders.
Key Responsibilities
- Manage the Managerβs diary, appointments, and events.
- Receive and redirect telephone calls to relevant personnel.
- Conduct daily unit roll calls.
- Provide secretarial support during board and management meetings, including preparing agendas and compiling minutes.
- Draft, type, and proof memorandums, letters, reports, and other correspondence.
- Handle classified files and documents in line with security protocols.
- Organize meetings, events, and social functions, including venue selection, invitations, and refreshments.
- Process travel and subsistence claims for the Manager.
- Maintain filing systems and ensure proper documentation practices.
- Coordinate logistical arrangements for visitors and internal meetings.
- Monitor unit leave registers and telephone bills, ensuring timely submissions.
- Prepare briefing notes and reports for management as required.
- Ensure compliance with departmental policies and administrative procedures.
- Handle S&T advances and claims efficiently.
Minimum Requirements
- Grade 12 / Senior Certificate (NQF Level 4) or equivalent.
- Secretarial or administration experience is an advantage.
- Proficiency in MS Word, Excel, and PowerPoint.
- Strong typing skills.
- Language proficiency in English (written and verbal).
- Analytical, innovative thinking and problem-solving skills.
- Excellent interpersonal, organizational, and communication skills.
- High reliability, discretion, and tact.
- Background as a legal secretary is an advantage (SAAF Headquarters role).
