About the Department

The South African Air Force (SAAF) Headquarters Unit is responsible for strategic operational management, coordination, and administration of air force activities. The unit ensures effective executive support and administrative functions to senior management, enabling seamless decision-making and operational efficiency.


Position Overview

The Personal Assistant will provide high-level administrative, secretarial, and reception support to the Director. The ideal candidate will have strong organisational skills, excellent communication abilities, and proficiency in Microsoft Office. This role demands discretion, professionalism, and the ability to support senior management efficiently.


Key Responsibilities

  • Provide secretarial and reception support services to the Director.

  • Receive and screen telephone calls, emails, and visitors.

  • Record appointments, engagements, and maintain the Director’s diary.

  • Perform advanced typing, drafting, and formatting of documents and reports.

  • Coordinate logistical arrangements for meetings, workshops, and events.

  • Assist in budget administration and monitoring for the Director’s office.

  • Study and apply relevant Public Service and departmental prescripts/policies.

  • Maintain up-to-date knowledge of office procedures, policies, and processes.

  • Provide general administrative support and perform ad-hoc tasks as required.


Minimum Requirements

  • Grade 12 / Senior Certificate (NQF Level 4) or equivalent.

  • Secretarial Diploma or Diploma in Management Assistance.

  • Minimum of 3 years relevant experience providing support to senior management.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Strong written and verbal communication skills.

  • Excellent organisational, planning, and time management skills.

  • Professional attitude, discretion, and the ability to work under pressure.

  • Willingness to work overtime when required.
