Role Overview

The Import Export Administrator (Junior) is a permanent position based at Adendorff’s Head Office in Aeroton, Johannesburg South. This role is key to the procurement and supply chain operations, ensuring that all import and export activities comply with regulatory requirements and company policies.

The successful candidate will be responsible for supporting the procurement department by maintaining accurate records, coordinating with clearing agents, and assisting with all administrative tasks related to the movement of goods across South Africa and internationally. Key Responsibilities

The Junior Import Export Administrator will be responsible for:

  • Purchase Order Verification: Ensure that all purchase orders meet shipping, payment, and regulatory standards before processing.

  • Documentation Review: Review and verify import/export documentation prior to submission to clearing agents.

  • Data Management: Capture procurement data and costing accurately on relevant spreadsheets and systems.

  • Clearing Instructions: Assist in preparing and submitting clearing instruction forms to relevant agents.

  • Export Coordination: Support the export process for Adendorff branches across South Africa, ensuring smooth shipment operations.

  • Record Keeping: Upload and manage all documentation in procurement files and folders for audits and internal review.

  • Follow-ups: Liaise with shipping agents regarding shipments, rectify errors, and maintain timely communication.

  • Warehouse Coordination: Communicate with the warehouse regarding deliveries, queries, and logistical challenges.

  • Regulatory Compliance: Assist with NRCS, Customs, and SAPS inspections, ensuring all regulatory procedures are adhered to.

  • Audit Preparation: Maintain thorough records to support internal and external audits of import/export activities.

Minimum Requirements

  • Diploma or relevant tertiary qualification in Logistics, Supply Chain, Finance, or International Trade

  • Minimum 5 years’ experience in administrative or import/export roles

  • In-depth knowledge of international shipping processes and documentation

  • Familiarity with NRCS, Customs, and SAPS regulatory procedures

  • Proficiency in Syspro or similar procurement systems

  • Advanced Excel skills for procurement and reporting

  • Strong attention to detail, organization, and ability to work under pressure

  • Excellent communication and interpersonal skills for liaising with internal and external stakeholders
