POSITION OVERVIEW

AFGRI Retail in Belfast, Mpumalanga is currently hiring an Administration Clerk to support the effective handling of receiving, invoicing, documentation, and general administrative operations at the branch. This opportunity is ideal for candidates who are detail-oriented, organized, and eager to grow within a reputable agricultural retail environment.

KEY RESPONSIBILITIES

  • Stock Receiving & Matching:

    • Receive stock and match with delivery notes

    • File delivery documents accurately

    • Assist with ad-hoc receiving tasks as needed

  • Invoice & Document Control:

    • Electronically collect and link invoices with delivery notes and purchase orders

    • Ensure correct number sequence processing on the system

  • Claims & Returns:

    • Process warranty claims, damaged stock returns, surplus/short deliveries, and expired items

    • Liaise with suppliers on outstanding invoices and discrepancies

  • Reporting & Stock Management:

    • Generate daily/weekly/monthly reports (e.g., claims, orders, negative stock)

    • Assist with quarterly stock-takes and capture stock counts

    • Compile variance reports and escalate issues to management

  • Cash-Up Management:

    • Perform daily cash-ups and reconcile cash shortages/surpluses

    • Submit reports to the Regional Banking Clerk as per internal policy

MINIMUM REQUIREMENTS

Education:

  • Grade 12 / Matric Certificate – compulsory

Experience:

  • At least 1 year of relevant administration experience in a retail or agricultural environment

TECHNICAL SKILLS

  • Proficient in Microsoft Office Suite

  • Good knowledge of administrative procedures and documentation

  • Effective verbal and written communication skills

  • Basic understanding of retail systems, invoicing, and stock reconciliation processes
