Role Overview

Bastion is seeking a dynamic and detail-oriented Office Administrator & Personal Assistant to support the Managing Director and senior management team in a variety of administrative, communication, and personnel-related tasks. Based in Klerksdorp, this role is essential to ensuring the daily operations of the office run smoothly while enhancing internal coordination and culture-building efforts.

The successful candidate will thrive in a fast-paced, professional environment and be capable of juggling multiple responsibilities—ranging from executive diary management to event coordination and internal communication—while maintaining discretion, organization, and a positive attitude.


Key Responsibilities

Executive Support & Administration

  • Provide high-level administrative support to the Managing Director and senior management team.

  • Schedule and coordinate meetings, travel plans, and logistics.

  • Prepare meeting agendas, take minutes, and follow up on action items.

  • Assist with the creation and formatting of presentations, reports, and formal documentation.

  • Process quotations, invoices, and other administrative transactions through SAP Business One (SAP B1).

Internal Communication

  • Draft, edit, and distribute internal announcements, newsletters, and staff communication.

  • Maintain company-wide messaging channels such as WhatsApp or email groups.

  • Liaise with various departments to ensure alignment and clarity of internal communication.

  • Organise staff briefings and company events to promote team cohesion.

  • Act as the Culture Ambassador, leading and promoting the initiatives of the internal Culture Committee.

Office & Facilities Management

  • Oversee general upkeep of office and meeting spaces, ensuring professionalism and efficiency.

  • Manage boardroom bookings, refreshments, video conferencing equipment, and visitor logistics.

  • Maintain stock of office supplies and ensure effective coordination with service providers.

Personnel & Staff Engagement

  • Support HR functions such as updating personnel records and internal databases.

  • Help coordinate employee events, long-service awards, staff meetings, and engagement activities.

  • Oversee logistics for training sessions and team-building events.

  • Maintain the staff contact directory and support onboarding communication for new hires.

Reception & Communication Management

  • Answer and direct telephone calls, emails, and in-person inquiries with professionalism.

  • Maintain a warm, tidy, and welcoming reception area for visitors.

  • Keep contact lists current and assist with correspondence to stakeholders and external partners.

  • Ensure messages and queries are routed appropriately and followed up on promptly.


Qualifications and Experience

  • National Senior Certificate (Matric) is required.

  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).

  • Practical experience with SAP Business One is essential.

  • Minimum of 2–3 years’ experience in an Executive Assistant or Personal Assistant role at a senior level.

  • Strong verbal and written communication skills.

  • Highly organized with proven time management and multitasking abilities.

  • Strong attention to detail, a proactive mindset, and ability to maintain confidentiality.

  • Ability to work independently and as part of a team in a deadline-driven environment.
