This role is ideal for detail-oriented individuals who excel in administration, financial processes, client liaison, and operational support.


Role Overview

The Administrative Specialist, Business Support is responsible for overseeing day-to-day financial operations, managing invoicing, validating financial transactions, and maintaining accurate records. The role ensures compliance with service level agreements (SLAs), drives process improvements, and provides critical support across operations and finance functions.


Key Responsibilities

  • Manage invoicing processes for corporate clients, ensuring accuracy and timeliness.

  • Verify incoming invoices and supporting documentation, raising credit notes where applicable.

  • Review and action Webcost queries; ensure adherence to timelines and accurate coding.

  • Assist in financial reporting, including P&L reviews, journals, and monthly branch reporting.

  • Maintain and update SOPs, work instructions, and client-specific processes.

  • Resolve operational and financial queries, escalating issues as necessary.

  • Track KPIs, SLAs, and internal performance metrics to meet contractual obligations.

  • Develop strong working relationships with clients, transporters, and internal teams.

  • Support change management processes, training, and continuous process improvement initiatives.

  • Ensure adherence to HSE compliance, audit requirements, and operational policies.


Minimum Requirements

  • Matric / Grade 12

  • National Diploma in Finance, Accounting, or similar qualification

  • Minimum 1 year experience in operations administration or financial support

  • Intermediate proficiency in MS Word, Excel, PowerPoint, and Outlook

  • Experience with SAP ERP, Webcost, and Audit to Pay tools

  • English proficiency (written and verbal)

  • Reliable transportation to work

Advantageous:

  • Understanding of warehousing and logistics operations

  • Exposure to WMS, ERP, and financial systems

  • Bachelor’s degree in Finance/Accounting (completed or in progress)
